Your Opportunity:

The Secretary provides administrative support to the Calgary Zone WHS Team and reports directly to the Manager, WHS Services. This position assists with the day-to-day operation of the Team by providing a full range of complex administrative duties including but not limited to: transcribes, formats, edits, and proof-reads documents as required; schedules and organizes meetings for the WHS Team members; includes sending notices, typing agendas booking rooms arranging for audio-visual equipment; records and transcribes minutes from committee meetings and distributes minutes as necessary; data entry; distributes WHS communications to assigned area of responsibility as required; enters and compiles statistical data and creates charts and graphical representations as required by WHS; assists with booking/re-booking appointments e.g. Occupational Health Assessments; maintains vacation schedule for the WHS team; acting as the contact person with other Offices/Departments/Programs in AHS in the assigned area of responsibility; prepare staff health files for legal review as appropriate. Additional responsibilities may also include responding to and resolving operational issues and requirements, processing staff scheduling and payroll, and completing various information management and reporting requirements specific to the area.

Required Qualifications: Completion of post-secondary education (e.g. course(s) in business administration, medical office assistant), or other related fields. Additional Required Qualifications: High School Diploma and two years of related health care experience would be an asset. This position will provide advanced level clerical and or administrative support of an office or program. Competence in the use of word processing, spreadsheets and database programs. Considerable knowledge of modern office practices, procedures and equipment. Knowledge of data entry and word-processing and spreadsheets. Excellent communication/interpersonal/organizational skills. Excellent formatting, grammar, syntax and proofreading skills. Ability to complete duties with numerous interruptions. Ability to prioritize and balance workload. Ability to coordinate meetings. Ability to handle incoming phone calls in a courteous and effective manner. Preferred Qualifications: As Required.
