ADMINISTRATIVE STAFF SPECIALIST II
Research Initiatives and Services (RIS) Major Research Partnerships (MRP) (18-Month Contractual Position with Possibility of Extension)

This position is funded through an external grant

The University will consider applications from qualified permanent staff who may be interested in a secondment, subject to departmental approval

DUTIES
The successful applicant will be responsible for providing general administrative, financial, and human resources assistance in relation to the administration of research grants. Duties include preparing financial reports and claims for funding agencies; preparing and maintaining up-to-date reports on project budgets including tracking match funding; reconciling monthly statements for projects and resolving discrepancies; assisting the Administrative Staff Specialist III with HR functions for MRP projects including hiring, contract extensions, step adjustments, graduate pay, and leave and time approvals; assisting with purchasing and procurement in accordance with Memorial\'s guidelines; ensuring purchases are in accordance with MRP project budgets/policies and procedures; processing external purchases using departmental procurement card; reviewing and preparing travel advances and claims, direct pays, and journal vouchers; providing back-up support to other administrative staff in the unit; assisting with fixed asset tracking and reporting; liaising with other University departments and maintaining effective working relationships with MRP project personnel, PIs, and other stakeholders including funding agencies; and performing other duties as required.
QUALIFICATIONS
Experience (3-5 years) in administrative work; completion of most university coursework towards an undergraduate degree in Business Administration, Public Administration, or Organizational Management; or any equivalent combination of experience and training. Extensive knowledge of financial administrative software (such as Banner Finance, FAST, or similar) and Microsoft Excel is required. The ideal candidate will have experience in budget preparation, purchasing, and accounting procedures, as well as strong analytical and critical thinking skills. Excellent communication skills and the ability to work independently and in a team environment are essential. Experience in a research grants administration capacity would be considered an asset.
Research Initiatives and Services is a hybrid work-from-home unit.
SALARY
$47,222 - $66,220 per annum (Non-Bargaining) CLOSING DATE March 27, 2023
