Administrative Operations Specialist

to join our dynamic team! Reporting to the Director of Operations, you will provide comprehensive administrative, compliance and operational support with a strong focus on health & safety coordination, insurance administration, and workers' compensation claims management across multiple jurisdictions (e.g., WCB, WSIB). The role ensures the company meets regulatory obligations, maintains accurate documentation, manages incident reporting, and supports internal teams in matters related to safety, insurance and risk management.

What will you do?



Prepare, manage and maintain company documentation such as compliance files, SOPs and administrative forms. Support senior leadership with administrative tasks including report creation and communication. Coordinate company-wide announcements, meetings and compliance reminders. Maintain accurate data in digital systems including HR, safety, insurance, compliance and incident tracking platforms. Administer insurance-related documentation including certificates of insurance, renewals and claims. Coordinate with insurance brokers for updates to automobile, commercial general liability (CGL), property and other corporate policies. Track company vehicle usage, driver records and insurance compliance. Assist with incident investigations, workplace injury claims including initial reporting, documentation, follow-ups and closure; track and report on safety metrics, incidents, near misses and corrective actions. Respond to internal and external inquiries regarding documentation requirements, shipment details, order status, etc. Coordinate safety training sessions, certifications and refresher courses for employees. Maintain vendor/supplier and customer records in ERP system. Generate periodic reports on KPIs and operational metrics. Provide administrative support for audits, compliance reviews, JHSC, etc.

You will have:



College diploma or equivalent education in Business Administration, OH&S, Risk Management or related field. 3+ years of administrative experience with responsibilities in health & safety, insurance or claims administration, preferably in a manufacturing environment. Demonstrated experience handling WCB/WSIB claims or multi-jurisdiction workers' compensation programs. Working knowledge of insurance processes (ex. CGL, automobile, property, umbrella, etc.). Strong proficiency in ERP systems and Microsoft Office (Excel, Word, Outlook, PowerPoint). Exceptional communication, customer service, time management and organizational skills. Strong attention to detail and accuracy with sensitive documentation. Ability to maintain confidentiality and handle sensitive information.

The following qualifications would be considered an asset but are not required:



Experience in manufacturing or industrial environment. Knowledge of occupational health and safety regulations (OSHA, WSIB/WCB requirements). Experience supporting return-to-work or modified duty programs. Familiarity with compliance and health & safety software.
