The Lunenburg Folk Harbour Society is a dynamic, non-profit, volunteer-driven organization dedicated to bringing world-class folk music to the stunning coastal UNESCO heritage town of Lunenburg, Nova Scotia. We create unforgettable experiences through intimate live performances at our flagship event, the Lunenburg Folk Harbour Festival, and a variety of other exciting events, including Weekends at the Opera House and Saturdays in the Park. Position Overview:
The Folk Harbour Society is seeking a dedicated and organized Administrative Coordinator to manage the day-to-day administrative functions of our office. This is a part-time role, requiring approximately
15-20 hours per week
with flexible working hours. This role is crucial for supporting the work of the volunteer Board and committees, coordinating with artists, and assisting with fundraising and marketing efforts. The ideal candidate will be a proactive, community-minded individual with a passion for the arts.
Key Responsibilities
Office and Administrative Oversight:
Provide general oversight of the Society's office, including maintaining regular office hours, responding to public inquiries in person, by phone, or email, and directing questions to the appropriate volunteer.
Artist and Venue Coordination:
Track artist contracts, collect required documentation (riders, promotional materials), and coordinate bookings for the Lunenburg Opera House.
Fundraising and Promotion:
Solicit and coordinate corporate sponsorships, donations, grants, and advertisement sales, including tracking contributions and ensuring proper recognition.
Team and Committee Support:
Support the work of the Executive, Board, and various committees. Assist the Personnel Committee with hiring summer staff and day-to-day oversight of summer staff. Support the Publicity and Marketing Committee by creating social media posts, updating the website, and preparing press releases.
Other Support:
Assist with the administration of the Jim Pittman Music Scholarships, and provide oversight of the Membership and Volunteer Registries.
Who We're Looking For:
We are seeking a highly motivated and detail-oriented individual to join our team. The ideal candidate is an excellent communicator, highly organized, and passionate about supporting the arts and community. This role requires someone who can work independently while also collaborating effectively with our dedicated network of volunteers and committee members.
The perfect candidate will have:
Demonstrated experience in office administration or a similar role.
Exceptional organizational skills and a strong ability to manage multiple priorities.
Excellent written and verbal communication skills.
Proficiency in creating social media content, updating websites, and graphic design.
Experience with fundraising, sales, or grant writing is considered a strong asset.
The ability to work independently and as part of a team.
Previous experience with non-profit organizations is a plus.
Familiarity with office equipment and software such as Microsoft Office Suite.
