Position Summary:



The Administrative Program Coordinator supports the Grief and Bereavement Program by providing administrative, logistical, and program coordination to ensure compassionate and effective service delivery. This role helps maintain program integrity, supports staff and volunteers, and ensures families and community members receive timely support. The Coordinator interacts with residents, families, staff, volunteers, and community organizations to foster strong connections and seamless services. All duties are carried out in accordance with the Occupational Health and Safety Act, related regulations, and Hospice policies and procedures.

Key accountabilities of this role include:



Program Coordination & Support



Assist in planning, organizing, and implementing grief support groups, memorial services, workshops, and community outreach events. Maintain program calendars, schedules, and event logistics. Coordinate communication between bereavement counsellors, volunteers, and other hospice staff.

Administrative Duties



Manage intake and referral processes for bereavement services. Maintain accurate and confidential records in compliance with HIPAA and organizational policies. Prepare reports, correspondence, and program materials. Monitor inventory and order supplies for bereavement activities.

Client & Community Engagement



Serve as a compassionate point of contact for grieving individuals and families. Provide information about available services and assist with registration for support groups and events. Support outreach efforts to community partners, faith organizations, and schools.

Volunteer Coordination



Assist in recruiting, training, and scheduling bereavement volunteers. Track volunteer hours and contributions. Provide administrative support for volunteer appreciation and recognition efforts.

Data & Reporting



Maintain databases and generate reports on program participation, outcomes, and feedback. Assist with grant reporting and program evaluation efforts.

Qualifications:



Bachelor's degree in Human Services, Psychology, Social Work, or related field preferred. Experience in hospice, palliative care, or bereavement services; empathy and sensitivity to grief and loss. Strong organizational and communication skills. Proficiency in Microsoft Office Suite and database management. 2+ years of administrative experience, preferably in a healthcare or nonprofit setting. Ability to work independently and collaboratively in a team-oriented environment.

Additional Requirements



Will need to provide proof of vaccination Satisfactory Vulnerable Sector Records Check Ability and means to travel as needed; a valid G License and access to a reliable vehicle for travel are required.

Compensation



$60,000-$65,000/year
