GREENLAND is seeking a qualified professional to join its head office administration team in Collingwood, Ontario and report to the Executive Team.

We are seeking a qualified professional to serve as an

Administrative / HR Assistant



Duties include but are not limited to the following responsibilities:

General Administration Support: 50%



Assist with business owners' support, business development and project management tasks;

Liaise with the company's IT contract staff as directed by management;

Travel to the Caledon East office (approx. 1-2 days per month). Duties include orientation of new staff for basic telephone set up, filing support, organizing of supplies and other general administration tasks;

Liaise with the insurance broker responsible for the annual renewal of policy documents (as directed by management) and WSIB certificate renewals;

Assist with the preparation of reports for project submissions;

Reception duties include answering and directing incoming phone calls, handling couriers, opening and distributing mail, updating data bases and photocopying as well as assist with general office tasks;

Maintain client and business contacts in the company's database;

Assist staff with general administrative tasks on an as-required basis; and,

Other duties as assigned.

Human Resources (HR) Support: 25%



Coordinate hiring protocol and standards (contact candidate, set up interviews, reference calls, follow up with candidate through entire process) for the core office operations in Collingwood, and Caledon East, Ontario;

Provide new staff orientations, including the coordination of software installations with IT staff, set up of office phone extensions, voicemails and photocopier scan boxes;

Administer, document and maintain sick days, vacation time, employee reviews and health and LTD benefits; and,

Health and Safety Representative for the above (2) Ontario offices.

Accounting Support (with the Bookkeeper): 25%



Help coordinate accounts receivable collections, including contacting clients as needed and documenting results;

Assist with payroll, HST and EHT preparation and administration;

Work closely with the Bookkeeper to prepare invoices and project billings;

Update/add new client information and enter new project numbers and paid invoices into company's database and computer systems;

Schedule and attend meetings related to the Administration Team, prepare meeting minutes and follow through with items discussed as needed; and,

Help liaise with the company's accounting firm for required support.

Post-Secondary education in a Business Administration/HR and/or Business Administration/Bookkeeping related field is preferred;

Demonstrate proficiency in MSOffice, including Word and Excel;

Understanding of the accounting system Unanet would be an asset; and,

At least three (3) years of relevant experience in a professional business or public sector setting. Engineering company experience is an asset.

Excellent communication skills and attention to detail;

Organized, proactive and self-motivated individual capable of producing results and meeting deadlines;

Ability to establish effective working relationships with colleagues and clients;

Creative insight and strong problem-solving skills;

Ability to multi-task and work in a fast paced, business environment; and,

Expected to manage work with minimum supervision.

Remuneration will be based on an annual salary of

$65,000 to $75,000

for full-time employment. A signing bonus will be paid after a successful six (6) month performance review.

GREENLAND will require three (3) business references and preferably from past (or current) employment supervisors or other management personnel.

Pay: $65,000.00-$75,000.00 per year
