Position Overview
The Administrative & HR Assistant supports executive operations and human resources functions across NAT. This hybrid role combines administrative coordination with HR logistics, including onboarding, recruitment support, volunteer coordination, and maintaining internal systems.
You will work closely with the CEO and HR Lead to manage schedules, documentation, onboarding materials, and communication with applicants, volunteers, and staff. This position is ideal for someone who is organized, detail-oriented, and interested in nonprofit HR and operations.
Please note: This position is contingent on external funding and will only proceed if funding is secured.
Key ResponsibilitiesExecutive & Administrative Support
Manage the CEO's calendar, meeting logistics, and task tracking
Prepare briefing notes, presentations, and reports
Support communication between the CEO, internal teams, and external partners
Maintain organized digital records and ensure timely follow-up on key items
HR Support & Coordination
Assist with recruitment tasks such as posting jobs, screening applications, and interview scheduling
Prepare onboarding materials, welcome emails, checklists, and documentation for new staff, interns, and volunteers
Support the maintenance of HR files, confidentiality agreements, and training records
Help track personnel schedules, hours, and deliverables
Assist with policy updates, SOP documentation, and compliance preparation
Volunteer Coordination
Support volunteer recruitment and communication
Maintain volunteer rosters, attendance sheets, and role assignments
Assist in preparing volunteer training materials and helping with onboarding sessions
Provide administrative support during volunteer shifts and event preparation
Internal Communications & Scheduling
Help coordinate staff meetings, agendas, and notes
Maintain shared calendars and assist with internal communication channels (Slack, Gmail)
Track reminders, deadlines, and action items for HR and administrative tasks
Process Improvement & Documentation
Contribute to refining administrative and partnership processes
Maintain up-to-date templates, databases, and documentation
Support planning and recordkeeping for grants and sponsorships
Skills & Competencies
Strong written and verbal communication
Excellent organizational skills and attention to detail
Professionalism, discretion, and reliability when handling confidential information
Ability to work independently and manage multiple priorities
Interest in HR, staff support, and nonprofit operations
Adaptable and resourceful in a fast-paced environment
Tools and Technologies
Google Workspace (Docs, Sheets, Drive, Calendar)
Gmail, Slack, Google Meet
ClickUp or other project management tools
Canva and Google Slides (asset but not required)
HR spreadsheets, trackers, and internal checklists
Qualifications
Required
Experience managing schedules, projects, or communications in a work, volunteer, or school setting
Strong organizational and coordination skills
Ability to handle confidential information with care and professionalism
Preferred
Experience supporting HR, recruitment, or administrative teams
Familiarity with project management or HR tools
Interest in HR, operations, or nonprofit management
Working Conditions
This is a hybrid position based in Edmonton. The student is expected to work in person 1-2 days per week and be available for key project milestones.
