This stand alone lead role works directly with the President and collaborates closely with the Technical Records and Inventory teams to streamline administrative and operational workflows and ensure full regulatory compliance. Our new Administrative Lead will manage finical records, ensure successful technology integration and coordinate travel and scheduling across the organization
Key Responsibilities
Office coordination & executive support:
Assist the President with general administrative tasks, prepare and file government required documents and report generation.
Technical records:
Work with our Technical Records Lead to transcribe legally binding entries, complete numerical tables (basic formulas), maintain accurate historical aircraft documentation and manage Transport Canada regulated records related to aircraft airworthiness.
Finance support:
Consolidate and categorize company expenses; support third party bookkeeping and CPA firm; related to accuracy and optimize related workflows.
Travel & scheduling:
Book travel for employees and coordinate itineraries.
Vendors, utilities & subscriptions:
co-management of relationships with vendors, track renewals, and complete necessary administration filling.
Shipping, receiving & customs:
Coordinate with the Inventory Manager on logistics, customs/duties, and shipping organization improvements.
Inventory support:
Assist with physical counts and system/process optimization.

Minimum Qualifications
High school diploma
Valid driver's license
Perform effectively under pressure and tight deadlines
Strong organizational skills, attention to detail, and professional communication
Comfort with numbers, spreadsheets, and following regulated procedures
Preferred Qualifications
Bookkeeping or AP/AR experience
Shipping/receiving and logistics coordination
Inventory/parts management exposure
Business administration or management education
Experience with legal/regulated recordkeeping
Department/policy management experience
(Asset) Aviation/AMO environment experience
