We are seeking a highly organized and detail-oriented Administrative Coordinator to support our office operations. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency with various office software. This role involves managing daily administrative tasks, providing exceptional customer service, and ensuring smooth office workflow in a professional environment. Experience with medical or dental offices is a plus, but not required.
Duties
Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Handle filing systems, document proofreading, and general clerical tasks to ensure organized recordkeeping
Support bookkeeping activities and assist with basic financial documentation as needed
Provide customer support and address inquiries via phone, email, or in person while maintaining excellent phone etiquette
Assist with appointment scheduling, calendar management, and coordinating meetings or events
Support administrative projects such as preparing reports, managing correspondence, and maintaining office supplies
Ensure the office environment is professional, welcoming, and efficient
Experience
Previous administrative experience preferred, including clerical work in an office setting or medical/dental practice
Proficiency with Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
Experience using QuickBooks or similar bookkeeping software is advantageous
Familiarity with multi-line phone systems and front desk operations
Strong organizational skills with the ability to manage multiple tasks efficiently
Excellent communication skills including phone etiquette and customer service experience
Ability to perform proofreading and maintain high attention to detail in all work tasks
Prior experience in a medical or dental office environment is a plus but not mandatory
