In this newly created role, we are looking for an

Administrative Coordinator

to join our IPAC, CE and Sales Support team. The ideal candidate for this

on-site role

will combine key admin responsibilities with a flare for sales and an interest in professional growth.

SUMMARY



Collaborating with the IPAC and Sales Director and external IPAC representatives, the IPAC Admin is responsible for scheduling customer appointments for our IPAC services and follow up to ensure we maintain the highest levels of satisfaction. The coordinator will also collect and organize potential new business leads including organizing continuing education events.

RESPONSIBILITES



Schedule customer appointments for IPAC services and manage email communications. Support Ipac consultants in the field. Maintain direct contact with customers who purchase IPAC services to ensure satisfaction and follow-up. Collect, organize, and pursue new business leads; call leads to convert into sales. Work closely with the CE Director to coordinate both live and virtual continuing education events. Confirm attendance with registrants before CE events, process registrations and payments, and distribute certificates after events. Assist with marketing CE events, distributing surveys, and supporting event logistics. Co-host or moderate live/virtual CE events, including managing chat/Q&A. Provide on-site support at live CE events, including registration and greeting customers. Work with the Sales Director to follow up on leads, prepare reports, and support sales initiatives.

REQUIREMENTS



Able to work on-site in St.Thomas. Comfortable with sales, cold-calling and public speaking. Advanced-level knowledge of MS Office Suite (Word, Excel, Outlook) Strong organizational skills and attention to detail. Excellent written, verbal, and active listening communication skills. Experience in administration, customer service, or event coordination. Skilled in handling sensitive information with the utmost discretion and confidentiality. Customer-focused mindset with the ability to build positive relationships. Must work well both independently and in a team environment. Coachable; willing to learn and navigate customer management systems. Dental knowledge is an asset, but the successful candidate will be trained in the knowledge required for this role. Flexibility to support occasional evening or weekend CE events.
