Position Overview
We are seeking an
Administrative & Bookkeeping Coordinator
to join our Saint John office. This person will be the backbone of our daily operations -- supporting bookkeeping, managing office systems, communicating with residential clients, and assisting our project managers and leadership team.
The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced environment. You will play a key role in ensuring InstallMasters runs smoothly behind the scenes, while also representing our professional and client-friendly image.
Key Responsibilities
Administration & Office Support
Maintain organized digital and physical filing systems.
Prepare professional documents, estimates, contracts, and client correspondence.
Support project managers with scheduling, paperwork, and follow-ups.
Handle incoming calls, emails, and office inquiries with professionalism.
Manage the company's comprehensive software platform, ensuring data is properly logged and updated.
Bookkeeping & Financial Support
Enter and reconcile expenses, invoices, and payments in company software (training provided if needed).
Prepare payroll documentation and assist with Records of Employment (ROEs) and government remittances.
Monitor accounts payable/receivable, flag outstanding balances, and follow up as required.
Assist with HST reports, audits, and provide accurate financial records to support the accounting team.
Client & Team Communication
Communicate with residential clients regarding appointments, invoices, and project updates.
Provide excellent customer service with a problem-solving mindset.
Assist in managing the InstallMasters app (attendance, scheduling, tickets).
Support internal communications and help maintain a positive office culture.
General Support
Order office supplies and assist with inventory tracking.
Provide administrative support for HR (onboarding, employee files).
Assist management with reports and presentations.
Requirements
3+ years experience in administration, bookkeeping, or office coordination.
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Experience with QuickBooks, Wagepoint, or other bookkeeping/payroll software is an asset.
Strong organizational skills and attention to detail.
Excellent communication skills, both written and verbal.
Ability to problem-solve and support clients with a positive, professional attitude.
Must have a personal vehicle and valid driver's license.
Ability to work on-site at our office (290 Industrial Drive, Saint John).
