We have an exciting opportunity for a full-time, permanent Administrative Coordinator, Primary Care Innovation Program (PCIP) to join our growing team!
The Administrative Coordinator, PCIP provides high-quality administrative support to the Manager, PCIP, team members, and multi-stakeholder committees. Responsibilities include managing the Manager's schedule, coordinating meetings, preparing minutes, handling communications, and supporting special projects. The role requires maintaining strong relationships with SMA staff, physicians, and external contacts.
This position is based on-site at our office in Saskatoon, SK, with a voluntary hybrid work option allowing remote work from home up to 2 out of 5 days per week subject to approval under our Hybrid Work Arrangement policy.
Key responsibilities include:
Provide administrative and coordination support to the Manager, Primary Care Innovation Program (PCIP), including managing calendars, handling internal/external requests, arranging meetings, preparing minutes, processing communications, and coordinating special projects/events.
Maintain strong relationships with Innovation Fund physicians, clinic staff, SMA team members (e.g., IF Coordinators, Accounting), physician leaders, committee members, and external partners by responding to daily inquiries and addressing concerns via phone, email, and online platforms.
Represent the PCIP Team by interpreting and communicating requests and feedback, ensuring positive rapport with staff, SMA members, and external stakeholders.
Review correspondence, initiating action where possible and ensuring the team is professionally represented.
Liaise with key external agencies such as the Ministry of Health, Saskatchewan Health Authority, and Health Quality Council.
Prepare and/or coordinate high-quality presentations, reports, letters, and documents.
Record and prepare minutes and supporting documents according to the SMA standards for timely review and distribution.
Support and coordinate team projects and events, such as Innovation Fund events, Patient's Medical Home initiatives, and learning and leadership development initiatives for family physicians.
Plan and manage logistics for meetings, including agendas, travel arrangements, and related requirements.
Perform general office duties, such as ordering of supplies and maintaining electronic filing systems.
Complete other duties as assigned by the Manager.
Qualifications
Diploma/certification in Business Administration and/or equivalent education and experience.
5 years' work experience in supporting senior leaders preferred.
Salary
$53,057- $71,783 per annum commensurate with experience.
