Position Summary:

Administrative Coordinator

Key Responsibilities:
Coordinate logistics schedules for deliveries with a focus on accuracy and timeliness.
Coordinate with vendors, venues, and internal staff to confirm scheduling and order details.
Anticipate logistical challenges and proactively develop solutions to maintain operational efficiency.
Monitor inventory allocations and communicate order requirements to managerial and fulfillment teams.
Support administrative functions including order entry, invoicing, and schedule management.
Demonstrate discretion and professionalism when working with high-profile clients and sensitive event details.
Uphold company standards of excellence, taking ownership of quality and client satisfaction.
Qualifications:
Minimum 3 years of experience in administrative coordination, operations, or client services; experience in the event or hospitality industry is an asset.
Exceptional organizational and time management skills, with proven ability to prioritize and manage multiple projects simultaneously.
Highly self-directed with a strong sense of accountability and ownership over outcomes.
Excellent written and verbal communication skills with a polished, professional demeanor.
Strong customer service orientation with the ability to anticipate client needs and respond with maturity and discretion.
Proficiency in Microsoft Office Suite and experience with scheduling or inventory management software.
Availability to work Saturdays is required.
