Job Description


:SUMMARYThe Administrative Coordinator provides back office support in the areas of the regional reports, regional information tracking, ESAT, regional newsletters. This individual will monitor the aging PR\'s, open commitments, Suspense list, process vendor setups, and perform reporting on such.KEY DUTIES & RESPONSIBILITIESInternal Purchasing

  • Carry out the day-to-day execution of clerical duties to ensure BGIS operations are provided with administrative support.
  • Monitor several reports including open commitments, aging invoices, interface errors.
  • Escalate issues to internal stakeholders as required & handle escalations from other departments.
  • Create P.R.\'s and make adjustments to them as necessary.
  • Reviewing any aging workorders relating to purchasing challenges.
  • Monitor and report on system integration issues utilizing the integration report.
  • Coordinate and process new vendor setups, as well as vendor data changes.
  • Collaborate with P2P, external vendors, and internal stakeholders in order to handle payment escalations.
  • Ability to understand multiple software systems and the integration between them.
  • Manage aging P card issues, support internal team in applying corrections.
Analytics
  • Coordinate with other departments in order to review reporting and provide analysis.
  • Identify integration issues and errors via reporting.
  • Collaborate on system solutions with various stakeholders and leaders.
  • Manage reports on a consistent basis with daily, weekly, and monthly monitoring.
Communications
  • Prepare initial content of newsletter/communications for stakeholders.
  • Prepare/review information prior to Portfolio Manager\'s approval of documents regarding the accuracy of content.
  • Verbal and written communication with both internal and external stakeholders.
  • Other related general administrative duties as required.
  • Other duties as assigned.
KNOWLEDGE & SKILLS
  • Administrative Experience, 3 -5 years in administrative setting.
  • Intermediate Excel
  • Ability to work with large volume of data.
