We are seeking a highly motivated and organized Administrative Coordinator to support three Directors within the Human Resources portfolio. This role requires exceptional organizational and communication skills, along with a solid understanding of HR and organizational procedures.
The successful candidate will be exposed to highly confidential information and must demonstrate diplomacy, professionalism, and political acuity. In addition to administrative duties, some program delivery may be required at the discretion of the Directors. This is an excellent opportunity for someone with strong technical, written, and verbal communication skills to provide impactful support in a dynamic environment.
Responsibilities will include:Manage complex calendars for three Directors, including scheduling, conflict resolution, conference registration, and preparation of expense reports. Provide coordination and administrative support for specific program areas, such as the Care Cart project, RISE scheduling, labour relations initiatives, and other operational priorities. Draft and prepare correspondence, reports, presentations, and proposals on behalf of Directors as required. Maintain HR system policy manuals, including tracking of revisions, approvals, and distribution; act as a key user of department-specific software. Perform general administrative duties including data entry, photocopying, filing, processing mail, and ordering office supplies. Process and manage procurement and financial transactions, including cheque requisitions, purchasing requests, employee reimbursements, and monthly Visa reconciliations. Coordinate and support meetings by preparing agendas, meeting materials, recording and transcribing minutes, and arranging logistics. Provide other administrative support as assigned.

What you bring to the role:Completion of an undergraduate degree in Administration, Business, or a related field. Minimum of 5 years of progressive administrative experience, preferably in a healthcare or human resources environment. Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Visio, Publisher); working knowledge of Meditech and HRIS systems preferred. Strong initiative, attention to detail, and ability to work efficiently in a fast-paced environment. Excellent customer service orientation and demonstrated ability to work collaboratively within a team. Superior written and verbal communication skills, with the ability to build positive working relationships with internal staff and external partners. Exceptional organizational, time management, and problem-solving skills. Demonstrated history of reliable attendance and punctuality. Commitment to a safe and healthy workplace, adhering to hospital policies, safety legislation, and mandatory education requirements.

Work Schedule:

Primarily Days, Monday to Friday, 8 hour shifts.
