Job Summary


We are seeking a dynamic and highly organized Administrative Coordinator to join our team! This vital role involves managing a wide range of administrative functions to ensure smooth daily operations. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills verbal written, phone skills and in person. You will serve as the backbone to the senior consultant and management team, supporting field staff, handling email inquiries, and maintaining efficient workflows. Your energetic and positive approach and dedication will help foster a productive and welcoming environment for everyone.

Responsibilities



1. Organize and compile documentation regarding WorkSafe BC requirements in a timely manner such as Notice of Project (NOP) for Asbestos and Abatement Work Procedures, and Ministry of Environment Waste Manifests, BCG Forms (Hazardous Waste Generator numbers);

2. Create invoices and collect payments;

3. Provide general information, answers routine phone and email inquiries about our services to customers;

4. Write correspondence, enter data accurately, and prepare quotations, proposals and reports;
5. Create job books, and establish, maintain, process, and/or update files, records, and/or other documents related to jobs;
6. Prepare proposals for clients including scope of work, pricing timelines and qualification.

7. Review bid invitations, tender documents and project requirements

8. Schedule site appointments, meetings and training dates;

9. Providing reports preparation assistance to field technicians and managers as required

10. Register participants for asbestos certification training sessions held monthly and preparations for training day as assigned by instructor

11. Miscellaneous office administration tasks or project as they arise.

Knowledge Skills and Experience required



Excellent command of English language both oral and written; Overall confident communication skills in person and on telephone ; Must be a self-starter and able to work independently with minimal supervision; Word processing and/or data entry skills (this includes proficient and proper keyboarding skills; Operate a PC with Microsoft 365 applications, cloud-based apps such as Docusign, SharePoint, E-draw floor plan maker; Ability to maintain web-based calendars and schedule appointments on web based calendar; Ability to function with minimum supervision and have a demonstrated ability to be unsupervised, proactive and troubleshoot problems independently with sound judgement; Priority Management - Ability to multi-task and prioritize tasks accordingly; Exceptional communication and organization skills required with fluent command in the English language both verbal and written; A friendly, outgoing and confident personality who enjoys interaction with people. Ability to maintain web-based calendars and schedule appointments and follow up on quotes and payment collections; Assertive interpersonal skills when dealing with difficult customers or unexpected situations or obstacles.

Job Type: Full-time

Pay: $41,600.00-$47,840.00 per year
