The Opportunity



The Waste Management and Environmental Sustainability Department is comprised of three Branches: Solid Waste Operations, Solid Waste Management Policy and Planning, and Environmental Risk Management and Compliance. Overall, this Department is responsible for the operation and maintenance of the City's Landfill site, which includes non-hazardous solid waste disposal, household hazardous waste receiving and disposal, leaf and yard waste disposal and composting, and solid waste collection and disposal. The Environmental Risk Management and Compliance Branch aims to minimize environmental risk associated with growth and corporate infrastructure, including Source Water Protection, Climate change strategy, Sustainable Development Strategy, Contaminated site response, sewer use by-law, spill response, ground water and surface water monitoring and investigations, and site plan reviews. This Department also develops and maintains strategies that promote circular economy and environmental sustainability, including waste diversion programs, sustainable waste management strategy, public outreach, and education.

Reporting to the Supervisor, Administrative Services, the Administration Co-op Student is responsible for supporting the delivery of departmental services and programs and providing courteous and timely customer service. Specifically, this position assists with responding to public inquiries and complaints, general administration within the department and maintaining departmental files. Overall, this position plays an integral role in the efficient delivery of customer service of the Waste Management and Environmental Sustainability department.

The successful applicant to this position will perform and/or assist with the following tasks:

Assisting the Technical Admin Support Specialist with providing information to other departments and the general public regarding Solid Waste & Technical Operations services, procedures and operations Responding to inquiries, requests and/or complaints via email, over the phone and in-person, which may include referencing the City website, searching the internet, or contacting other departments for information, as well as redirecting complex questions or complaints to the appropriate staff Updating database software for green bin deliveries, which involves collecting accurate and complete information from residents and/or employees Assisting with day-to-day administrative functions, such as preparing, formatting and distributing documents and correspondence, room bookings, mail distribution and courier services, data entry, processing invoices and updating employee contact information within the department Assisting with Records Management functions including scanning and saving files into the correct locations, retrieving and boxing inactive files, preparing and processing records, and responding to FOI requests Ensuring visitors/contractors sign in and wear appropriate PPE Assisting with other duties as assigned or as required in accordance with branch, departmental, divisional and/or corporate objectives

Education

(degree/diploma/certifications)
Currently enrolled in a recognized College or University Co-op Program Completed at least one (1) year of a related post-secondary program at a recognized College or University in Business, Business Administration, or a related discipline

Experience


Six (6) months of experience performing duties related to the major responsibilities of the position

Knowledge/Skill/Ability


Working knowledge of principles related to customer service and administration Intermediate customer service, attention to detail, administrative, oral and written communication skills Advanced computer literacy utilizing Microsoft Office Suite (Excel, Outlook, Word)

The normal hours of work are 35 hours per week in accordance with the Collective Agreement

$17.60 to $23.82 per hour
