POSITION SUMMARY: Provide all aspects of administrative support required for the efficient operation of the Multicultural Council. Responsibilities include greeting clients in person or on the telephone and provide clerical support to the Executive Director and the MCC as a whole.QUALIFICATONS AND EXPERIENCE:

  • Diploma/Degree in Administration or Business Administration
  • 2 years relevant experience in administrative and clerical work.
  • Good organizational skills and ability to multi-task
  • Ability to work in a fast pace multicultural environment.
  • Written and oral communication skills are essential.
  • Superior customer service skills.
  • Proven competency using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to speak Arabic as a second language considered an asset
  • Must possess a valid Level 2 police clearance, renewed every 3 years.
AREAS OF RESPONSIBILITY:
  • Ensure someone is always at the front desk. If you need to be relieved, please ensure someone is physically covering the front desk. When phones are to be covered for lunch hour by scheduled personnel (staff or volunteer) and changes occur, ensure coverage is obtained and advise immediate supervisor of changes.
  • Answering all incoming calls promptly, accurately and professionally.
  • Directing all calls to appropriate staff.
  • Taking accurate & complete messages and relaying them to appropriate staff. If the person calling does not want to leave a voice mail, take down the information and relay it to the individual's voice mail.
  • Greeting and assisting clients. Thorough knowledge of all MCC programs, services and events. Ensure that all walk-in clients are taken care of.
  • When working with new clients complete the intake forms thoroughly or direct to the appropriate program personnel. Assist clients with any settlement needs as required.
  • Sorting and distributing all incoming faxes.
  • Keep track of paper supplies, photocopy toner and other general office supplies and request additional when needed.
  • Provide clerical support to the Executive Director and the Director of Programs and Development as needed
  • Keep front office areas clean (reception area, student/client room)
  • Notify immediate supervisor of any personal schedule changes to ensure there is proper coverage of the reception area at all times.
  • When staff or volunteers call in sick, late or otherwise detained, please advise their immediate supervisor immediately.
  • Other duties as assigned.
