Job Description

The Administrative Assistant/CSR supports Henry Walser Funeral Home's mission to be a team of caring and compassionate professionals who are committed to providing funeral services that help families and friends honour their departed loved ones in a manner that helps to facilitate the healing process. They do this by ensuring the families receive the best possible care and attention to the personal details they request for their service.

This in-house position is scheduled for 40 hours per week on a fixed schedule that rotates every 2 weeks. There is no option for remote work. The shifts are 10 hours in length:

Operational Responsibilities

On designated weekends, responsible for being the primary contact in the department, working with funeral directors and family members through telephone, email and in-person to fulfill personalization requests. On designated weekends, responsible for the organization and workflow for the department for timely completion. This includes re-prioritizing taks throughout the weekend to make sure all time sensitive taks are completed in a timely manner. Responsible for answering telephone inquiries in a professional manner, replying to general information requests and directing phone inquiries to appropriate staff members Complete, edit, approve, create and/or print all necessary documents, stationary and funeral service personalization items that are required for all funeral services using Word, Excel, database software and internet Complete, edit, approve, create and print all necessary stationary items required for funeral services using Adobe (including Photoshop), Word, Design Applications and the internet. This includes, but is not limited to: Portrait editing, slideshow creation, and creating and designing custom stationary (memorial cards, orders of services, bookmarks, etc). Responsible for working with funeral directors and family members through telephone, email and in personal to fulfill personalization requests. Responsible for obituary processing, posting, editing and communicating by phone and email with publishers, ensuring approval deadlines are met. Communicating through multiple applications to ensure accurate and timely completion of service details to the team, funeral directors, service team and families. Sort incoming email, faxes and deliveries for distribution; prepare and send outgoing faxes, email, mail and packages Responsible for website and data entry and upkeep of the organization's databases ensuring a high level of accuracy. this includes proof-reading and cross checking obituaries, event listings, and stationary pieces with high attention to detail. Upload, download, rip and burn files and create QR codes. Fluent in functionality with CDs, DVDs, USBs, SD Cards and email. Must be familiar with applications such as YouTube, Spotify and Apple Music. Forward incoming general emails to appropriate staff members, schedule appointments in Google Platform and provide administrative support to leadership and other team members Performs other related duties as assigned
Qualifications, Skills, Attributes

Experience, Education, and Technical Skills

1-3 years' experience within an administrative role Degree or diploma from a recognized college or university in related field This role is highly interactive with our families and guests; the ability co communicate clearly in the English language is vital Ability to assess situations appropriately and offer appropriate feedback and solutions to families. High level of administrative preparation and coordination is required. Advanced skills in Microsoft Office programs / using various media forums including CDs, DVDs, Flash Drives etc. Basic creative or artistic skills is required to put together slide shows and documentation and customized stationary for services. Basic mathematic skills are required to prepare certain documents and basic technical skills are required to work with standard office environment.
