Engineers Yukon is the regulatory organization established under the Engineering Profession Act (Yukon) to regulate the practice of engineering, to govern the profession in accordance with the Act, Regulations and By-Laws, and to establish and maintain standards of knowledge, skill, care and professional ethics among its members and licensees, in order that the interest of the public may be served and protected. Under the direction of the Executive Director, the Administrative Assistant will support operations with general reception and administrative tasks as well as event planning. Responsibilities of the Administrative Assistant include:
  • acting as the first point of contact (reception) for Engineers Yukon through professional handling and/or routing of public inquiries, emails, incoming calls and/or visitors
  • delivering frontline support to the members who require customer service supports in the areas of email address updates to access online membership accounts, payments in person, password resets, and as necessary redirect queries to the appropriate department for more complex or specific support
  • preparing member requests for resignation, cancellation, change to retired or life member status
  • preparing and distributing member/permit holder certificates
  • updating member and permit holder lists on a biweekly basis
  • attending monthly Council meetings, recording, and transcribing the minutes in draft form to be reviewed & approved by Council
  • supporting Committee and Council meetings by scheduling meetings, tracking availability of members, booking Boardroom or outside venue (if large space required) and arranging hospitality
  • attend Annual General meeting and any Special General meetings, record and transcribe the minutes in draft form to be approved by membership at a subsequent AGM or SGM
  • providing administrative support to the Communications Coordinator for Engineers Yukon programs and events including the AGM, Awards Banquet, Annual Engineering Bonanza, and/or other special events or meetings, as needed
  • any other duties as assigned necessary to support the affairs of Engineers Yukon
Although various combinations of education and experience will be considered, the ideal candidate will have:
  • completed grade 12; a diploma in business administration, marketing, communications, or a related discipline is preferred
  • 1-2 years of relevant work experience in an administrative or executive support capacity
  • excellent communications skills, both written and verbal; ability to exercise tact and diplomacy to deal effectively with all internal and external stakeholders over the phone, via email or in person
  • strong computer and typing skills; proficiency in Outlook, Word, Excel, Microsoft Teams, and document management systems
  • ability to multi-task and manage time efficiently
  • prior experience in a regulatory association environment will be considered an asset
This is full-time position, 37.5 hours a week. The salary range for this position is $52,650 - $60,000 based on candidate experience.
