Job Description


HYAS is searching for a resourceful and self-motivated Administrative Assistant to support to our Operations Team. This is a fully remote position requires occasional travel. The ideal candidate must have the ability to navigate complex scheduling and calendaring across multiple time zones in support of a remote operation. Candidates must reside in the Victoria, British Columbia area or in the San Francisco Bay Area (California) to be considered for this opportunity.
Reporting to the Operations Manager the Administrative Assistant will be required to perform an array administrative as functions well as assist Human Resources., The ideal candidate will have a proven track record as a detailed orientated, tech-savvy, and resourceful administrator with strong written and verbal communication skills.
Key Responsibilities

  • Perform general administrative duties such as travel, expenses, maintaining schedules
  • Maintain a consistently updated and accurate appointment schedule for the Executive Leadership team, including determination of urgency and nature of requests, resolution of time conflicts, and notification to all relevant parties.
  • Own all scheduling requests for all company-wide, and team meetings
  • Expense reports review and data entry
  • Assist with event research and planning
  • Updates to All-team shared Drive
  • Provide administrative support the the Executive Leadership team as assigned
  • Perform administrative HR functions (e.g., job posting, interview scheduling, phone screens and onboarding)
  • Utilize our HRIS platform BambooHr to perform updates to employee information

Experience
  • 3-5 years administrative experience as an Administrative Assistant, or other similar role with transferable skills
  • Excellent organizational skills
  • Excellent computer skills with advanced proficiency in commonly used IT software and applications (i.e. Microsoft Office, Trello, Zoom, etc.)
  • Excellent written and verbal communication skills
  • Exceptional attention to detail and possesses strong organizational and planning skills
  • Exceptional time management skills
  • A demonstrated commitment to high professional ethical standards
