Columbia Academy is hiring for Administrative Assistant About Columbia Academy: Columbia Academy is a reputable school located in the heart of Downtown Vancouver. We are an academic driven school with a strong focus on community volunteering, academic competition and school clubs. Some of the responsibilities include, but are not limited to:

  • Provide comprehensive administrative support, assisting with the day-to-day operations of the school office.
  • Provide clerical support: type letters, reports, newsletters and information to parents from school principal as well as from individual teachers; provide typing support to academic staff
  • Manage phone calls, emails, and inquiries from parents, students, and staff, providing friendly and professional assistance.
  • Maintain student files, attendance records, and staff documents, ensuring accuracy and confidentiality.
  • Open, scan, sort, distribute and file Board and postal mail; collect and post outgoing mail
  • Assist teaching staff with input and printing of report cards
  • Maintain petty cash
  • Assist with data entry tasks, including inputting student enrolment information, grades, and attendance data into the school management system.
  • Help schedule appointments, meetings, and events, managing the school calendar efficiently.
  • Manage office supplies, including ordering, organizing, and distributing them to staff members as needed.
  • Serve as a communication liaison between parents, students, and staff, relaying messages and addressing general inquiries.
  • Provide assistance in planning and coordinating school events, such as school trips, parent-teacher conferences and open houses.
  • Assist with the process of purchasing of school texts and consumables;
  • sort staff purchase requests, type on appropriate forms and forward to the purchasing department on delivery of order, check delivery against invoice, stamp texts, sort and distribute delivered material to staff
  • send appropriate invoices and forms to accounts payable department
  • trace missing shipments and maintain adequate supplies
  • record and maintain the school supply accounts
  • Assist in maintaining school attendance records for staff and students
  • Assist in maintaining the school\'s teacher and student records
  • Register all new students and staff to the school completing all the necessary forms and providing parents with information
  • Obtain student records from prior school if necessary and give them to the appropriate staff
  • Prepare transfers and necessary documents when a student leaves the school
  • Update each student file each semester
Requirements:
  • Languages: Must be fluent in written and spoken English
  • University degree and Canadian high school diploma are preferred
  • At least two years of local working experience in a related area
  • Preference for those who have worked in an elementary/secondary school or similar educational setting.
  • Strong organizational and time management abilities.
  • Attention to detail and accuracy.
  • Excellent Presentation and Communication Skills
  • Proficient knowledge of MS Office
  • Expert in Social Media management: IG, Facebook, YouTube
  • Experience in basic graphic design, making and editing video
  • Details-oriented, able to multi-task and work in a fast-paced environment
  • Have a positive attitude and ability to adjust to changes and follow deadlines.
Benefits:
  • The salary for this position starts at $36, 000 annually
  • Extended health benefits will be provided after the successful conclusion of the probationary period

  • Secondary School (preferred)
Experience:
  • Front desk: 1 year (required)
  • Administrative experience: 1 year (required)
