Zymeworks is proudly headquartered in our brand new, net-zero facility located in the vibrant Main St biotech hub of Vancouver, BC, with operations in Seattle, WA and Dublin, Ireland. We offer a hybrid work environment with most team members working in-office three days per week.

Key Responsibilities

  • Provide general administrative support to the Vancouver office.
  • Provide support to the EA of the CEO with administrative tasks and other executives if needed.
  • Provide vacation/sick coverage for the EA of CEO
  • Monitor expenses, generate purchase orders and complete expense claims and corporate credit card reconciliation as per the company guidelines and deadlines.
  • Prepares and edits correspondence, communications, presentations, and other documents.
  • Assist EA with coordination of staff events and programs, conducts research, maintains RSVP lists, coordinate logistics, etc.
  • Assist with staff event set-up, coordination, and tear down, and have flexibility to do this outside of normal working hours if needed.
  • Complies with organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.
  • Proactively looks for new ways to improve current processes and their continuous improvement/efficiency.
  • Fosters effective and collaborative working relationships with fellow employees, management and external associates.
  • Provide front desk reception relief daily as needed. Receives guests, vendors and suppliers and maintains security by following established procedures. Monitors sign-in log and issues visitor badges. Receives courier packages and notifies receiving parties accordingly.
  • Provide support with conference registrations as needed.
  • Maintain scientific journal subscriptions using RightFind software.
  • Assist with re-establishing the blood donor program.
  • Assists team with ad-hoc tasks and general administrative duties.
Education and Experience
  • Post-secondary education in business, office administration, or a related program and a minimum of 2 years\' related experience or an equivalent combination of education and experience.
Skills and Abilities
  • Proven interpersonal skills with the ability to work collaboratively as a member of a cross-functional team and to establish and maintain effective working relationships with employees, management and external associates.
  • Strong organizational skills and the ability to work effectively in a high paced, fast changing environment. Results-oriented.
  • Excellent customer service skills with a proactive, problem-solving approach. Ability to function professionally and pleasantly during periods of high stress.
  • Demonstrates initiative and the ability to make thoughtful and timely decisions.
  • Ability to exercise professionalism, sound judgement and discretion when handling issues of a difficult sensitive or confidential nature.
  • Excellent oral and written communication skills. Strong attention to detail.
  • Experience coordinating domestic and international travel arrangements in multiple time-zones
  • Proficiency with MS Office. Experience with Mac operating systems an asset.
  • Knowledge of SAP is desired.
