Job Description

We currently have an opening for an Administrative Assistant in our Vancouver office.The successful candidate will provide support to our Infrastructure Division by preparing correspondences, reports, and proposals; coordinating and making arrangements for meetings, presentations, travel and social gatherings as required; implementing activities that build team spirit within the Group; and organizing the Group's work stations and common work areas. Duties also include providing administrative support to other groups, when required. The successful candidate will be involved in preparing, organizing, and ensuring timely and proper delivery of various documents, including correspondence, records of meetings, technical memoranda, discussion papers, contract documents and technical specifications, reports, and proposals. Other duties will include updating Division member's resumes, keeping abreast of Division members' whereabouts and updating Division's team calendar. The successful candidate will be required to prioritize urgent tasks over less pressing tasks and handle last minute requests and deadlines.

Job Requirements

  • Diploma or undergraduate degree in in Office Administration would be an asset.
  • Minimum of 5 years of experience providing administrative support, preferably in an engineering or architectural environment.
  • Proficient in MS Office, including word processing (Word), spreadsheets (Excel), and presentations (Power Point), and scheduling software (MS Project); proficient in CorelDRAW! or other desktop publishing software.
  • Website maintenance and database management skills are an asset.
  • Knowledge of Adobe Acrobat and Illustrator is an asset.
  • Able to work in a fast-paced office environment and remain calm in stressful situations.
  • Superior organizational and time management skills; strong attention to detail.
  • Superior interpersonal skills and a strong team player.
  • Strong oral communication skills and technical writing skills.
  • Available to work overtime as required or requested, occasionally at short notice.
