Our portfolio includes all types of residential buildings, mixed-use projects, renovations and seniors housing.The role: We are looking for an enthusiastic Administrative Assistant to work closely with our administration team, executing a variety of tasks providing support to our Partners and Technologists. Our ideal candidate is warm and welcoming, helping to set the tone of the office by greeting employees and clients from reception. Administrative experience would be an asset accompanied by proven organizational skills, a positive attitude, good eye for detail and eagerness to learn.What we offer: Competitive salary & bonus structure (commensurate with experience) Extended health benefits package Paid leave including paid time off over the winter holidays Staff socials Commitment to support development and growth within your roleWhat you will bring to the IA team: Previous administrative experience (ideally gained in architecture, engineering, construction, insurance, or law) Post-secondary education relating to business administration is not required but considered an asset A high-level of proficiency with Microsoft Word, Excel, Outlook & familiarity with Adobe Acrobat Excellent verbal & written communication skills Ability to work autonomously, organize and prioritize effectively to meet deadlines Good judgment and discretion with confidential information A friendly, positive attitude and a commitment to working effectively in a team environmentWhat you will be doing: Reception duties; answering incoming calls, greeting clients & consultants Distribute incoming / outgoing mail, arrange courier deliveries Assisting partners & staff with project administration duties; preparation & issuance of memos, transmittals, field reviews, assurance documents etc. Printing, scanning & filing incoming & outgoing office/project related documentation Scheduling and coordinating meetings and booking travel Maintain & update office files & records Help to maintain organization and cleanliness in the office General office administration this includes but is not limited to data entry, event coordination, banking, ordering office supplies, document management etc.Please provide a resume and cover letter indicating if you are looking for part time or full time employment + your current availability.
