The Administrative Assistant position provides basic administrative support to two Vice Presidents in the Human Resources Department of Hydro One. The Administrative Assistant is responsible for managing and maintaining the calendars and schedules of multiple busy executives. Excellent organization, strong time management skills and the ability to multitask is required. In addition, this position will have accountability to coordinate meeting arrangements, including booking large meetings, arranging venues and meeting rooms, ordering catering and preparing meeting agendas and materials. The Administrative Assistant will be required to practice excellent discretion and judgement while handling highly sensitive information. The Administrative Assistant position will require solid interpersonal skills and ability to network to determine key contacts and go-to individuals.

General Accountabilities:

  • Maintain multiple supervisors\' calendars, review meeting requests, coordinate scheduling with internal and external parties, prioritize appointments and reschedule where necessary.
  • Make all necessary meeting arrangements including managing invites, booking onsite meeting rooms, offsite venues, arranging catering and preparing meeting agendas.
  • Ensure that supervisor has all required reference materials and audio-visual equipment for meetings.
  • Answer inquiries on behalf of supervisor(s), taking messages as required. Provide information in subject areas agreed on with supervisor(s) and within bounds of confidentiality guidelines.
  • Liaise with internal and external groups as necessary, ie other Business Units.
  • Prepare supervisors\' expense reports and time sheets, requisition cheques, purchase orders, compile various monthly reports, assemble material, and organize backup information as requested.
  • Perform routine compiling, processing and maintenance of information required by supervisor(s) eg, time sheets, vacation logs, etc. Refer to various Company manuals and guidelines.
  • Respond to inquiries, determine nature of request and respond appropriately.
  • Establish with supervisors, priorities and schedules for ongoing work programs incorporating new work into schedules. Consult with supervisor or others for advice and direction as necessary.
  • Refer requests for action to other staff in Division and/or Company, based on knowledge of organization, and consistent with confidentiality restrictions.
  • Process incoming and outgoing mail, sorting and distributing as necessary noting priorities, searching files, records, etc. to locate supporting information for supervisor, arranging for taxis, couriers, as necessary.
  • Set up and maintain supervisors\' working files in accordance with Records Management policies and guidelines, retrieving materials as required. Maintain various administrative manuals.
  • Perform other duties as required
Selection Criteria:

Essential Knowledge:
  • Requires comprehensive knowledge of office practices, including operation of various standard office equipment.
  • Requires knowledge of Hydro One web-sites for various policies and guidelines to assist completing and checking material / forms for accuracy, such as Corporate Charge Card policies; Human Resources policies.
  • This knowledge is considered to be acquired either through the successful completion of Grade XII in a Secondary School or by having the equivalent level of education.
Essential Experience:
  • Requires experience to understand the specific and routine clerical processes relating to the administration of the work.
  • Requires experience to be familiar with the administrative aspects and functions of the office to enable participating in the non-routine work matters involving correspondence and document processing.
  • Candidates with SAP, Microsoft Office and SharePoint experience would be an asset.
  • A minimum of 3 years in the area of administrative and support services.
Essential Competencies:
  • Requires proficiency in keyboard operation and experience with various software applications (word, excel, PowerPoint, SAP) required to carry out job activities.
  • Requires proficiency in English grammar and sentence structure to prepare concise and effective correspondence, reports, etc.
  • Requires efficiency and a high-level of organization with the ability to anticipate emerging needs and manage priorities
  • Requires demonstrated initiative to take proactive action and deliver timely results, judgment and flexibility to meet unanticipated needs and changing priorities
  • Requires working with various internal and external personnel, representatives of various agencies in the electricity industry and general public.
