PURPOSE OF POSITION
As a member of the Legal and Enforcement team, the Administrative Assistant, Legal and Enforcement will provide a full range of administrative services to management and staff, primarily in the Legal Services function.

KEY RESPONSIBILITIES

  • Coordinating and leading assigned projects for the development, implementation and maintenance of office administrative procedures, systems and practices to support unit projects and stakeholder consultations.

  • Coordinating appointment calendars for senior managers and counsel and making logistical arrangements for internal/external meetings.

  • Creating and maintaining various filing, tracking and database management systems.

  • Transcribing, formatting and producing a variety of legal documents, reports, powerpoint presentations, statistical spreadsheets, meeting minutes, briefing materials to support the work of the unit.

  • Coordinating administrative support requirements in the areas of staff attendance, budget administration, computer maintenance and upgrades.

  • Other administrative tasks as required


QUALIFICATIONS
Specialized Knowledge and Experience

  • Demonstrated knowledge of administrative principles, methods/systems, and office procedures to provide administrative support and coordinate assigned administrative projects.

  • Proven knowledge and expertise in computer systems and software tools including word processing, database, presentation, spreadsheet, and internet/intranet applications to prepare a range of documents, access information, administer databases and tracking systems and coordinate systems maintenance and upgrade requirements.

  • Experience and knowledge of project management and knowledge management processes an asset.

  • Experience and knowledge in Pension administration or Pension Law is preferred


Skills

  • Proven organizational skills to prioritize own work in an environment of different administrative tasks and conflicting deadlines.

  • Demonstrated problem solving skills to identify and resolve administrative issues or develop effective solution recommendations.

  • Demonstrated analytical skills to review documents, identify potential missing/inaccurate information and follow up with staff.

  • Proven verbal communication skills to respond to inquiries and exchange information with internal/external contacts.
