We are looking for an Administrative Assistant to work closely with the In-Flight Service team. Under the supervision of the Base Manager, the incumbent will support, on a daily basis, the administrative tasks of the team by performing quality administrative activities. The incumbent will also be called upon to act and interact as a resource person with the Toronto and Vancouver base cabin crew members.

In this administrative role, the administrative assistant must have the ability to manage multiple tasks in a constantly changing environment, while respecting tight deadlines. They will be responsible for writing, translating and updating certain communications and documents, as well as ensuring a rigorous follow-up of certain files.

Responsibilities

  • Administers the return-to-work process for Flight Attendants and Flight Directors following a long-term
  • absence.
  • Provides administrative support to the base manager and supervisor team for the management of electronic documents, employee files, statistics and operational performance.
  • Attends administrative and disciplinary meetings to transcript meeting minutes.
  • Attends some local committee meetings to transcript notes.
  • Writes necessary communication requested by the in-flight department management team,
  • Writes, edits and translates internal communications to ensure compliance, standardization and employer brand.
  • Acts as a resource person for crew members to direct them to the proper communication channels, answer their questions and ensure a continuum of service.
  • Organizes and supplies to the work environment, work tools and the online library for cabin crew members.
  • Receives, screens and redistributes telephone calls, emails and incoming/outgoing mail;
  • Collaborates with various suppliers and partners (permit administration office, parking office, Toronto Airport, Vancouver Airport etc.) and authorizes R.A.I.C. requests and staff parking access.
  • Maintains the department's intranet site and improves its content.
  • All other related tasks
Requirements
  • Bilingual (French and English) in both spoken and written form.
  • One to two years experience in an office environment (unionized environment an asset)
  • Organizational skills, methodical and able to manage multiple files at once
  • Attention to detail and ability to deliver on time
  • Intermediate level of knowledge with MS Office software (Outlook, Excel, Teams, etc.)
  • Team player, initiative and resourcefulness
  • Must be able to provide a high level of discretion with sensitive and confidential information.
  • Must be able to obtain and maintain an airport restricted area identification card
