MacEwan University is seeking an Administrative Assistant to the Dean for an 18-month full-time non-recurring term opportunity with the Faculty of Fine Arts and Communications.
Reporting to the Dean, FFAC, the Administrative Assistant to the Dean is responsible for providing high-level, comprehensive administrative support to the Dean, as well as other areas of the faculty as required. Accountabilities include coordinating the Dean's calendar and schedule, preparing briefing and other materials, developing effective systems and procedures to ensure the smooth operation of the Dean's Office. You will also receive and direct communication, support faculty meetings, and support governance processes and requirements at the faculty level.
Key responsibilities include:
Managing travel arrangements, hotel accommodations, transportation, conference registrations, and itineraries for the Dean;
Organizing faculty-wide special events and activities on behalf of or in conjunction with the Dean and FFAC Associate Deans;
Reconciling the Dean's corporate Visa card and submitting other expenses;
Drafting, reviewing, editing, formatting, and coordinating the submission of all documents for the Office of the Dean; independently composes correspondence for the Dean's signature;
Supporting the Dean to ensure efficient scheduling of governance activities and meetings to ensure timely completion and compliance with University governance requirements in coordination with Faculty Governance Administrator;
Compiling documents for agenda packages and disseminating invitations;
Attending Faculty Council meetings, preparing and documenting minutes and coordinating with Faculty Governance Administrator;
Answering the Dean's Office phone and directing calls appropriately;
In coordination with other staff members, monitoring, responding to, or redirecting emails received in some shared inboxes;
Assisting with Open House and other FFAC events as needed; and
Triaging issues within the Dean's Office as appropriate to ensure they are addressed and responded to in a timely manner.

SKILLS
You will have:
Excellent communication (written, spoken, and interpersonal) skills;
Proficient grammar, writing, and proofreading skills;
A strong attention to detail;
Knowledge of the Protection of Privacy Act, including legislation and best practices related to records retention;
Sound judgment, diplomacy, and the ability to foster and maintain positive, collegial relationships with a variety of internal and external stakeholders;
The ability to exercise initiative, work independently, and manage multiple priorities and prioritize tasks with minimal supervision;
Excellent organizational and time management skills;
A demonstrated ability to create effective processes and improve office systems;
A demonstrated ability to problem-solve, assess situations, apply good judgment and discretion, and handle confidential and sensitive information;
Proficiency using Microsoft Office including Outlook, Excel, Word, PowerPoint; Google suite of applications etc.; and
The ability to analyze information and processes, and to apply critical thinking skills while working in a self-directed manner.

QUALIFICATIONS
A minimum of a Diploma in Office Administration or related field.
A minimum of 3 years of progressively responsible and diversified administrative experience.
Direct experience in a post-secondary or related public sector environment would be considered an asset.
An equivalent combination of education and experience may be considered.
