TITLE: Administrative Assistant to the Chair, School of Engineering Technologies & Architectural Studies

DIVISION: Centre for Construction & Engineering Technologies

SALARY: Full Time Support, Payband F, $28.56 per hour (40 hours per week)

LOCATION: 160 Kendal Avenue

STATUS: Full Time Support

What responsibilities will you have in this role?

  • Acts as first point of contact to the Chair including administrative support such as composing letters/memos, preparing reports, tracking employee expenses/master card log sheets; arranges appointments, meetings and travel needs; boardroom bookings, catering, and equipment requirements, prepares materials for distribution.
  • Leads the website program page updates for all departmental programs through the Program Management Tool.
  • Follows-up with faculty/instructors to ensure grades are received in a timely manner and enters grades in database.
  • Provides a full range of services for industry representatives such as Program Advisory Committee members and research partners including scheduling meetings and parking arrangements.
  • Works flexible hours on occasion to attend meetings, which may take place early morning and evening.
  • Assists the Operation Coordinator as a point of contact for part-time faculty and acquires voicemail, email, issue of keys and classroom access, or other supplies.
  • Assists students with booking meetings with the Chair as required.
  • Assists in organizing and facilitating student activities, orientations, and events.
  • Acts as a backup on student queries and issues for Student Service Representatives, other Administrative Assistants and Operations Coordinator within the centre with general inquiries.
  • Orders and maintains instructional and office supplies.
  • Participates in college activities and working groups (such as Millennium, Start/End of Term, and internal meetings).
  • Assists in obtaining quotes and preparing web requisitions according to needs of the school and budget procedures and requirements.
  • Reviews faculty, support and chairs business and travel claim expenses to ensure they adhere to GBC finance policy.
  • Other related duties as assigned.
What qualifications do you need for this role?
  • Three-year diploma/degree from a recognized post-secondary institution in Business Administration, General Arts or a Bachelors level education with relevant experience.
  • Minimum three years\' administrative experience in a post-secondary education institution minimum.
  • Excellent customer service experience and highly effective written and oral communication skills.
  • Advanced computer skills are an asset.
  • Demonstrated initiative and ability to work independently with minimal supervision.
  • Strong problem-solving skills in order to identify problems, determine possible solutions, and select appropriate actions.
  • Excellent time management, coordination, and organizational skills; ability to establish priorities and make decisions within prescribed boundaries.
  • Ability to manage numerous complex and demanding tasks and to meet strict deadlines.
  • Discretion, sound judgement and a commitment to preserving strict confidentiality while working within the College policies.
  • Demonstrated commitment in delivering excellent service in supporting the success of students and College employees.
  • Flexibility in adapting to change and in participating in consultative decision-making processes.
Hours: Monday to Friday 8:00am to 4:00pm.
Interview process may consist of a practical skills component.
