Job Level NV-04

The incumbent supports the class 5 or under business centre manager and/or all other managers by performing various administrative support and secretarial duties according to the managers' detailed instructions. He or she also helps execute management activities.

General Information on the Position

Main Responsibilities

Provide support to the business centre manager(s) and/or other managers in planning and coordinating management activities and entering and following up on information in their agendas. Follow up on managers' calls, email and mail.

Produce a variety of documents (e.g., proceedings, minutes, reports, statistics, summaries).

Help plan the logistics for a variety of events, including team and committee meetings, training seminars, phone conferences, travel and PR activities.

Perform a variety of administrative tasks associated with internal management (e.g., sales tracking, dashboard, expense account monitoring, inventory and supply management, performance evaluations).

Manage documents and update files for different sectors (e.g., filing, purging and archiving) according to practices and rules in effect.

Perform a variety of secretarial duties including writing, formatting, updating, creating and editing documents for different sectors.

Assist the business centre manager and all other managers with research, procedural and IT tasks.

Qualifications

Trade school diploma in a related field

A minimum of 2 years of relevant experience

Please note that other combinations of qualifications and relevant experience may be considered

For vacant positions available in Quebec, please note that knowledge of French is required

Specific knowledge

Impeccable French spelling and grammar

Understanding of the philosophy and inner workings of a financial services cooperative

Knowledge of telephone protocol

Knowledge of service standards.
