Purpose of the Role
The Administrative Assistant, Talent Development will perform all administrative and supporting tasks for the goals and objectives of the Talent Development department. Our Talent Development team is responsible for the design, development and delivery of professional development learning programs, which provide a comprehensive national approach to the on-going business and legal education of all BLG lawyers.
Administration is an integral part of the operation of the Firm's Talent Development department and within this role, the Administrative Assistant, Talent Development will be required to complete these duties for extended periods of time during each day. The incumbent is responsible for contributing to the delivery of our professional development programs and initiatives. This role will also support key internal initiatives as determined by the Manager, Talent Development.
Key Responsibilities
The key responsibilities of this role are:
General Administrative & Team SupportProvide administrative support to help meet Talent Development objectives.
Collaborate closely with key stakeholders to ensure all initiatives are efficiently executed.
Work with the team to offer assistance wherever possible.
Consistently and appropriately update the team on progress where appropriate.
Any other duties as requested by the business.
The role will require the incumbent to work in a flexible and hybrid format, with additional in-office presence required around, and during, program delivery dates, including flexible hours and overtime outside of standard office hours.
Event Planning & ExecutionProvide administrative coordination for all event logistics for in-person and virtual/hybrid events including invitations, attendance tracking, distribution lists, handout materials, site management, speakers, visual presentations, and follow-up efforts.
Support in coordinating facilities arrangements for room set-up, technical (AV) assistance and catering, working closely with IT, Office Services, other internal services teams and third-party vendors.
Assist in coordinating travel and accommodation arrangements.
Act as liaison with external vendors (hotels, restaurants, etc.) and continually track potential vendors and venues.
Track event metrics and ROI for reporting and analysis post program.
Material Preparation & DocumentationUndertake copying requests, scanning, printing, assembling, organizing and the shipping and delivery of program materials, including name badges, tent cards, dinner cards, handouts, and additional materials as required by the department programming (working with the Mail Room, Copy Centre and Document Production as required).
Assist in producing digital program materials and communications, such as program PDF Binders, invitations and other communications.
Assist in producing program follow-up materials, such as final attendance reports, post-program reports, and program master reference binders.
Assist in maintaining master database of all programs for annual reporting.
Create documents and templates in iManage and organize and label with clarity and accuracy.
Systems & CommunicationsAct as first point of contact for support required on our Learning Management System (LMS), BLG U. Assist in related troubleshooting by liaising with internal teams and BLG U users to resolve any access or BLG U site issues.
Support in updating internal/external facing communications and content, including the department intranet page (uno), quarterly MCPD Newsletters and BLG U site.
Tracking, Compliance & BudgetSupport with departmental tracking and reporting initiatives throughout the year.
Reconcile department Visa statement and process department purchase orders, expenses and invoice payments.
Support with Mandatory Continuing Professional Development (MCPD) related tasks, as assigned.
Key CompetenciesEstablished knowledge of Microsoft Office suite software (e.g., Word, Excel, PowerPoint) and CRM
Post-Secondary diploma in Administration, an asset

Adoptant une vision globale de la formation juridique et commerciale continue des avocates, cette equipe est chargee de la conception, de la mise au point et de l'execution des programmes de perfectionnement professionnel a l'echelle nationale.
Les taches administratives sont essentielles au deroulement des activites de l'equipe Perfectionnement des talents du cabinet; la personne retenue devra donc leur consacrer chaque jour une grande partie de son temps. Elle contribuera egalement a la mise en oeuvre des programmes de perfectionnement professionnel de BLG et d'autres importantes initiatives internes, comme demande par la gestionnaire, Perfectionnement des talents.
Principales responsabilites
Soutien administratif general et particulierFournir du soutien administratif de facon a contribuer a l'atteinte des objectifs de l'equipe Perfectionnement des talents.
Collaborer etroitement avec les principales parties prenantes afin d'assurer le bon deroulement de toutes les initiatives.
Travailler avec les membres de l'equipe et leur offrir son aide chaque fois que possible.
Informer regulierement et adequatement l'equipe des progres accomplis.
Executer toute autre tache demandee.
Travailler selon un horaire flexible et dans un environnement hybride, notamment en assurant une plus grande presence au bureau avant et pendant le lancement d'un programme, et en faisant des heures supplementaires au besoin.
Planification et tenue d'evenementsContribuer a gerer la logistique des evenements en personne, virtuels ou hybrides (invitations, liste d'envoi, gestion des reponses, documentation, gestion des lieux, panelistes, presentations visuelles, suivis, etc.)
Aider a coordonner l'amenagement de l'espace prevu (configuration audiovisuelle, service traiteur, soutien a l'equipe TI, aux Services de bureau et a d'autres services internes et fournisseurs).
Aider a coordonner les deplacements et l'hebergement.
Agir en tant qu'intermediaire aupres des fournisseurs (hotels, restaurants, etc.) et etre a l'affut de nouveaux fournisseurs et de nouveaux endroits ou tenir des evenements.
Faire le suivi des donnees et du RCI propres aux programmes aux fins d'analyses et de rapports.
Preparation de documentation et de materielVoir aux demandes de photocopie, de numerisation, d'impression, d'assemblage, d'organisation et d'expedition du materiel necessaire aux formations, soit les porte-noms, les cartons tentes, les cartons de repas, la documentation et tout autre element demande par le service responsable (en collaboration, selon les cas, avec la salle du courrier, le centre de copie et le Centre DocPro).
Aider a produire des invitations, des relieurs PDF et d'autres documents numeriques ayant trait aux programmes de formation.
Contribuer a produire des rapports de presences, des resumes post-programme et des reliures de reference du materiel de formation.
Aider a maintenir la base de donnees maitresse de tous les programmes aux fins de la preparation des rapports annuels.
Creer des documents et des modeles dans iManage; les nommer precisement et les organiser clairement.
Systemes et communicationsEtre le premier point de contact relativement a notre systeme de gestion de l'apprentissage, U de BLG; faire le pont entre les equipes internes et les utilisateurrices pour resoudre les questions d'acces et d'autres problemes lies a la plateforme.
Contribuer a la mise a jour du contenu et des communications internes et externes, notamment les pages du service sur l'intranet (uno*), le bulletin sur la formation professionnelle continue (FPC) obligatoire et le materiel sur U de BLG.
