Reporting to the Manager, Student Wellness Centre (SWC), and working closely with the larger team, the Administrative Assistant is responsible for the provision of various administrative tasks and activities to support workflows and daily functioning of the wellness centre. As an Administrative Assistant, the successful candidate will be committed to the principles of equity and diversity, supporting students by providing culturally sensitive, accessible, responsive, high-quality service and supports.
Summary of Responsibilities:
Provide day to day administrative support at the Centre, often acting as this first point of contact for students
Greet students upon arrival at the Centre, communicate Centre services, answer questions, and provide navigation of the various program areas, appointment policies, Health and Dental Insurance and UHIP processes
Provide back up support for the Medical Assistant in the event of absence from the centre
Monitor general inboxes and respond accurately, in collaboration with the multi-disciplinary team
Assist with administrative components of electronic databases, maintaining data entry and reporting requirements
Liaise with other stakeholders in relation to the smooth day to day operation of SWC programs and services
Respond appropriately to crisis/urgent matters, liaising with appropriate colleagues and management accordingly
In conjunction with the admin team, provide support in relation to phone and email student inquiries, referrals, follow ups and other stakeholder inquiries
Assist across program areas, providing administrative support to Coordinators and Management which can include data entry, reconciliation, and coordination/scheduling in relation to student support services
Perform administrative duties, such as: photocopying; faxing; and typing reports, correspondence, consultation/referral notes and data entry
Engage collaboratively with the SWC team for implementation of special projects and initiatives
Assist the Manager, SWC and Dean of Students and work collaboratively with the SWC team in other related tasks that contribute to the successful operation of the Centre
Qualifications:
Post-secondary diploma in a related field (e.g. medical administration)
Minimum of two (2) years of administrative experience, preferably in a health care setting
Team player, with a demonstrated ability to work collaboratively and independently, and display a high degree of initiative
Excellent analytical, problem-solving skills; ability to respond to variety of needs of various stakeholders in a fast-paced environment
Strong computer skills with working knowledge of Microsoft Office applications and databases, and the ability to communicate clearly and professionally, both orally and in writing
High degree of accuracy and attention to detail; excellent organizational skills with a demonstrated ability to prioritize tasks and juggle competing demands
Proven judgement, boundaries, and discretion in dealing with confidential matters and urgent/crisis situations, responding appropriately, with sound judgement, seeking consultation as required
Ability to give and receive feedback
Ability to take initiative and work both independently and participate collaboratively in a team environment
Genuine interest in working with a post-secondary student population and compassion for those experiencing distress
Familiarity with local community resources is an asset

Compensation: Hiring Range - $22.12 to $26.14 per hour commensurate with experience, plus 4% vacation pay and 7% in lieu of benefits; Salary Range - $22.12 to $30.42 per hour.
Hours of Work: Monday to Friday, for a total of 35 hours per week. This opportunity is a temporary one-year contract.
