POSITION SUMMARY:

This role is an excellent opportunity for an individual who enjoys a variety of duties, opportunities to prioritize their own workload, and growth & learning opportunities such as taking on new and challenging responsibilities/tasks or growing into new positions. Every day is different, this is an active role that allows for frequent movement throughout the office and interactions with a variety of people, internal and external.

This position supports the Office Administrator to ensure the efficient operation of the office and Wales McLelland\'s overall operations. This is a key support role for office and field staff across the organization.

The right individual will have talents in organization and juggling multiple projects, clear oral and written communication, the ability to work well in a team with a friendly demeanour, and a keen eye for detail to deliver accurate, complete, timely, and high-quality work outputs. The ideal individual will also love what they do, be self-motivated and accountable, and adaptable.

RESPONSIBILITIES:

  • Receptionist duties such as:
  • Answer and direct phone calls using a multi-line phone system and Voice over Internet Protocol (VoIP).
  • Act as the first point of contact for Wales McLelland by receiving and assisting visitors, clients, and partners.
  • Provide backup coverage to the Office Administrator as requested.
  • Check team members in and out.
  • Receive and distribute incoming mail and packages.
  • Prepare outgoing mail and packages for pickup, including booking couriers for outgoing mail and packages as requested.
  • Prepare packages and materials to go out to Company jobsites as requested.
  • Provide general office administrative support to a variety of departments as requested, by completing duties such as:
  • Filing
  • Data entry
  • Scanning, copying, binding, preparing labels, and other document preparation
  • Preparing reports
  • Preparing fillable Adobe forms
  • Preparing presentations using PowerPoint
  • Taking meeting minutes
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, obtaining quotes, and placing and expediting orders for supplies, and verifying receipt of supplies.
  • Provide support to accounting department during high volume/overflow work.
  • Maintain internal contact lists.
  • Handle sensitive information in a confidential manner.
  • Produce and distribute correspondence memos, letters, and forms.
  • Prepare and maintain lunchroom supplies, snacks, and coffee, and ensure the cleanliness of the kitchen areas including loading and unloading the dishwashers.
  • Ensure the cleanliness and organization of all common office spaces, such as photocopying rooms, boardrooms, and supply storage areas.
  • Setting up and taking down lunches for meetings and corporate lunches on Fridays and as needed.
  • Other administrative tasks, as required and assigned.
QUALIFICATIONS:
  • Minimum 2 years of experience in office administration.
  • Minimum 2 years of experience in a reception/front-desk role.
  • Certificate/Diploma in Office Administration or an equivalent combination of education and experience.
  • Proficient computers skills (including proficiency in programs such as Outlook, Word, Excel, PowerPoint, Teams, Adobe, etc.).
  • Proficiency in document proofreading and formatting.
  • Proven ability to multi-task and achieve deadlines in a fast-paced environment.
  • Proven experience in completing projects/tasks with minimal supervision.
  • Proven ability to work independently and on a team.
  • Exceptional English written and oral communication skills.
  • Previous experience working in a construction/manufacturing environment is an asset.
  • Demonstrated ability to handle high-pressure situations in a professional manner.
  • Proficient time management skills and ability to multi-task and prioritize work.
  • High attention to detail.
  • Strong problem-solving, organization and planning skills.
