Job Description


Rachael A. Mella Professional Corp. seeks an organized and friendly Administrative Assistant to join our public accounting firm in Charlottetown, Prince Edward Island. Working in a small team environment, you will play a key role in providing administrative support to ensure the smooth operation of our office. As the ideal candidate, you are skilled at providing exceptional client service and the ability to work accurately and efficiently in a fast-paced environment.

Location:
Charlottetown, Prince Edward Island

Hours of Work:
37.5 hours (Monday-Friday)

Key Responsibilities:

  • Assist in managing office communications, including answering phone calls and emails.
  • Greet clients and visitors, creating a welcoming and professional atmosphere.
  • Maintain and organize physical and electronic filing systems for documents and records.
  • Prepare and edit documents, reports, and correspondence as needed.
  • Schedule appointments and meetings, and coordinate with internal staff.
  • Process and manage incoming and outgoing mail and packages.
  • Assist with basic bookkeeping tasks, including data entry and invoice processing.
  • Coordinate office supplies and ensure inventory is well-maintained.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Perform other administrative duties as assigned that are in accordance with typical duties in this role.

Working Environment:
As an Administrative Assistant in our public accounting firm, you will work in a professional, collaborative, small-team environment. You will be able to support our diverse client base, including individuals, small businesses, and corporations, with their accounting needs. Attention to detail, accuracy, and efficiency are essential in this role. Prolonged periods of sitting, using a computer, and occasional lifting of office supplies or documents are typically required in this role.

Qualifications:
  • Completion of 1 year to 2 years of post-secondary education in business administration or equivalent education and relevant experience
  • Proficient in using software and tools such as Google Docs and Microsoft Office (MS Word and Excel).
  • Experience with Caseware/Caseview, QuickBooks Desktop, QuickBooks Online, or Sage Accounting Software is considered an asset.
  • Ability to prioritize tasks, manage deadlines, and work under pressure.
  • Ability to work overtime, as needed, to meet client deadlines.
  • Must be a Canadian citizen, a permanent or temporary resident of Canada, or have a valid Canadian work permit.
Compensation: $35,000 \xe2\x80\x93 $40,000 per annum
