THE OPPORTUNITY
This position is responsible for providing administrative support to Protective Services. The incumbent performs a variety of office and reception administration duties including data and document management. This position reports to the Supervisor of Administration.
This posting is to fill one (1) Temporary Full Time Position. End date May 2026 with posibility of extension
RESPONSIBILITIES
Specific duties will include a broad range of administrative functions. These functions support the current and evolving needs of our City departments and contribute to the continual improvement of efficiencies.
Service and support in the following areas will include, but are not limited to:
Providing client service to staff and the public (via front counter, telephone, and email).
Maintain confidentiality regarding all customer needs.
Verify employee timesheets are adhering to the collective agreement and city policy requirements
Proofreading, editing, and formatting a range of correspondence and written material.
Maintaining and updating records and files.
Supporting meetings and committees, including logistical arrangements, agendas, transcription, minutes, and follow up on subsequent proceedings.
Preparing interdepartmental documents as required.
Perform clerical duties including, receiving, sorting and distributing mail.
Maintaining and organizing file room and office supplies.
Assisting with projects and event planning.
Other Duties
Understand and adhere to City policies, procedures, and standards, whether written or implied, as amended from time to time.
Contribute to a positive safety culture by always acting in a safe manner and complying with City safety policies for staff and contractors.
Act as a steward of the City's Corporate Culture by following the values we live by.
Perform other job-related duties as required.

QUALIFICATIONS
Minimum of a one-year certificate/diploma in office or business administration.
Minimum of 2 years related administrative experience, preferably in a professional environment.
An equivalent combination of education and experience will be considered.
Previous experience with data entry.
Proficiency in the Microsoft Office Suite (Word, Excel, Outlook) is essential.
The ability to work independently in a busy and challenging environment, and the flexibility to assist where needed and work as an active team member are essential.
Ability to work effectively and professionally with all levels within the organization and externally is essential.
Outstanding interpersonal, time management, organizational and communication skills with a proven ability to interact in a highly professional and confidential manner are crucial.
Problem solving and exercising good judgment are integral.
Assets
Previous municipal experience is an asset.
Experience using an electronic records system such as MFR or First Due.
Experience in a medical, enforcement or protective services setting an asset.
CONDITIONS OF EMPLOYMENT
Criminal Record Check Clearance
Ability to obtain Community Peace Officer Status
Ability to obtain Commissioner of Oaths
Working Environment:
Office environment
Due to the nature of this position, hours of work will vary.
Monday to Friday
Hours of work: 830am to 430pm
Overtime may be required
Schedule may be adjusted according to business needs.
Noise Exposure - may be exposed to noise over 85 decimals.
