We are a small construction company looking for the right person to join our team. We are looking for a
Administrative Assistant / Project Coordinator
with
Construction Experience & COR Auditor Training.
You will perform a variety of administrative and clerical tasks as well as supporting the Project Managers, Estimators & Superintendents. Duties of the Administrative Assistant include assisting in daily office needs and managing our company's general administrative activities. Duties of the Project Coordinator supports Project Managers by handling daily tasks, organizing schedules, tracking progress, managing documentation, and facilitating communication between team members, and management to ensure projects run smoothly from start to finish, focusing on execution details while the PM owns the overall strategy.
Responsibilities
Answer and direct phone calls
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of Job Tender Closings
Preparing Bid Forms for job Closings
Develop and maintain a Sub-Contractor List
Update and maintain Safety Manuals
Preparing Operations & Maintenance manuals upon project completion
Order office supplies and research new deals and suppliers
Maintain contact lists
Act as the point of contact for internal and external clients
General Office Requirements
General upkeep / cleaning of office
Proven experience as an administrative assistant, or office admin assistant
Skills
COR Auditor Training is an asset
Knowledge of Buildworks, Merx, APC, Bonfire & Ariba Beneficial
Quick learner
Extreme attention to detail
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Basic Accounting skills
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree; additional or qualification as an Administrative assistant
Those with construction background will be preferred.
