Responsibilities



Coordinate customer communications via email or phone to notify them when their order is ready Coordinating internal teams and resources to ensure project deadlines and details are met Staying accountable for follow ups, scheduling, quoting, approvals, and reporting Prioritizing tasks effectively in a fast paced setting Keeping all client and project documentation organized and up to date Supporting a positive, solution oriented culture with both clients and teammates Greet visitors and customers in a warm, professional manner Notify team members of visitor arrivals and appointments Answer and direct phone calls, emails, and handle mail Oversee daily office upkeep, ensuring a clean and well-organized workspace Track and restock inventory of office supplies and laminate materials used in print production Must be able to lift and carry items weighing between 5 and 20 lbs. Must be proficient in using Microsoft Excel Communicate with vendors for office supplies, maintenance, and equipment repairs Walking is required between departments and throughout the unit Match invoices with packing slips and track incoming invoices Arrange shipping and pickups with couriers and customers Coordinate company events directly with clients Handle sensitive information with confidentiality

Skills



Relevant post-secondary education, or equivalent experience. Minimum 2 years of experience in a client facing or project coordination role Strong organizational skills and the ability to manage multiple moving parts High attention to detail, especially in scheduling, documentation, and client communications A strong sense of accountability and ownership over your work Clear, professional written and verbal communication Someone who genuinely enjoys working with people, building trust, and solving problems A proactive mindset with the ability to stay focused and flexible under pressure
