Dominion Lending Centres is a busy growing Mortgage Brokerage in Peterborough, advertising a full time Administrative Assistant position.
Hours: Monday to Friday 9-5pm. Salary will be between $18-$20 an hour, based on experience. Work location is in Peterborough and in person attendance is required.
We are looking for a self-starter with the ability to work independently and multi-task within a fast-paced environment while paying attention to details and deadlines. To help optimize and streamline daily tasks, allowing the employer to focus on strategic priorities. The ideal candidate will handle both personal and professional responsibilities with discretion, efficiency, and excellent communication skills.
Superior communication, writing and organizational skills are required. Must possess a high level of confidentiality.
Responsibilities will involve all aspects of file management from opening to completion and will include working directly with clients and lenders, collecting and organizing confidential documentation.
If you have experience with tax documentation, mortgages, legal or real estate administration these skills would be an asset.
Key Responsibilities
Time Management: Manage calendar, schedule appointments, and coordinate meetings to ensure optimal time utilization. Possess strong time management skills, with attention to detail, following through on projects and handling multiple tasks.
Errands and Personal Tasks: Perform tasks such as shopping, managing household needs, and organizing travel arrangements. Valid driver's license and reliable transportation (if applicable).
Project Assistance: Provide support for ongoing projects, research, and miscellaneous initiatives as needed. Tech-savvy and quick to learn new tools or platforms.
Communication: Act as a gatekeeper for emails, calls, and messages, ensuring that important information is prioritized and communicated effectively. Phone experience essential.
Organization: Maintain an organized system for personal and professional files, tasks, and goals. Detail-oriented, ensuring nothing falls through the cracks.
Qualifications:
Experience working in a small-to medium-size office, finance firm, or law firm is preferred.
Strong technical skills using MS Word, Trello, Docusign, Excel & Outlook.
Extremely organized and meticulous with follow-up and detail oriented.
Ability to take initiative, ask questions, prioritize and multitask.
Strong verbal and written communication skills.
High level of confidentiality, discretion, and trustworthiness.
