Operating near the Rideau River, Osgoode Farms has been an operational farm since 1962 and is expanding its operations into servicing the forestry and landscape industries with innovative and eco-friendly products that can enhance soil and plant health. Job Brief Osgoode Farms Ltd is seeking a reliable, meticulous, detailed oriented individual to join our team. As the Executive Assistant, you perform more than administrative tasks; you are often the team\'s \xe2\x80\x9cright-hand person\xe2\x80\x9d who enables the smooth operation of the business. As the Executive Assistant, you must be a quick learner and have the ability to adapt to different tasks as required by the executives and owner of Osgoode Farms. Core Responsibilities

  • Managing the day to day administrative tasks including any paperwork/mail processing, filing, scheduling, opening and closing jobs/work orders, communicating with accounting, filling out forms and other paperwork, etc.
  • Attend all important meetings, take minutes and ensure action items are completed by those assigned
  • Draft, review and send communications on behalf of team
  • Assist in the companies social media account and other marketing initiatives
  • Assist the management team with HR functions such as posting positions and administrative HR paperwork.
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Answer and respond to phone calls, communicate messages and information to the team
  • Prioritize emails and respond when necessary
  • Coordinate arrangements for clients or executives such as travel or itineraries as required.
  • Maintain and keep meticulous records and documents for company executive(s)
  • Support the team as required
Executive Assistant Skills and Qualifications
  • Excellent written and verbal communication skills in English. French is considered an asset.
  • Time-management skills
  • Ability to pay attention to detail
  • Organization skills
  • Ability to multitask and juggle changing priorities
  • Strong understanding of frequently used computer software and programs, such as Google sheets
  • Accounting, Work order processing, and inventory knowledge and capabilities considered an asset
  • Strong Interpersonal skills
  • Valid drivers license and access to vehicle.
  • Experience in Agriculture, Forestry, or Construction is considered a strong asset.
