RoleThis position reports to the Executive Assistant of the COO.Responsibilities
Prepare and edit correspondence, communications, presentations and other documents
Arrange corporate travel and meetings by developing itineraries and agendas; booking other transportation; arranging lodging and meeting accommodations
Record, transcribe and distribute minutes of meetings
Submit expense reports for upper management team using Concur
Keep track of trade show requirements.
Book travel, dinner and hotel accommodations for attending staff to the major tradeshows and AGM.
Act as liaison to external organization for the preparation of annual sales meetings: Assist in coordinating all arrangements and ensuring the smooth functioning of these events. Follows-up on all arrangements such as locations, room bookings, setups, travel and hotel arrangements.
Other related tasks
Successful candidates will have:
AEC or DEC in Administration
Minimum 1 year in an administrative position
Highly proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite (Word, Excel, PowerPoint, Outlook)
Strong organizational and planning skills
Strong communication skills (oral and written)
Able to maintain confidentiality
Able to work well in a team and alone
Strong attention to detail and accuracy
