The opportunity

WSP Global is currently looking for an Administrative Assistant, Legal Affairs, to support the insurance, litigation, ethics, and compliance teams. The role is based in Montreal or in Quebec City.

Responsibilities
  • Check the linguistic and stylistic quality of the documents produced and their layout (e-mails, tables, forms, PowerPoint presentations, etc.) for the department.
  • Draft and/or revise the department's routine correspondence (mail, various notes, minutes of meetings, etc.).
  • Process invoicing for the legal team: entering invoices into Legal Tracker, reviewing invoices, coordinating and verifying information, obtaining required approval, and preparing monthly reports.
  • Coordinate the agendas and manage emails for the Global Director, Insurance, Claims and Litigation and the Chief Ethics and Compliance Officer.
  • Coordinate travel and manage expense accounts for the Global Director, Insurance, Claims and Litigation and the Chief Ethics and Compliance Officer.
  • Assist the International Insurance Coordinator in the renewal of insurance policies.
  • Enter invoices into a claims management system.
  • Consolidate financial transactions and assist in the preparation of reserve reports.
  • Other tasks assigned/required .

What sets you apart...
  • Professional diploma in secretarial studies, office automation or any other training deemed equivalent.
  • Between 2 and 5 years of relevant experience;
  • Advanced knowledge of Microsoft Office and Excel is a requirement.
  • Sense of organization and initiative.
  • Detail-oriented.
  • Excellent oral and written communication skills.
Language skills
  • Knowledge of Spanish is an asset.
