Reporting to the Senior Manager, Legal, the Administrative Assistant will provide administrative and legal secretarial support to members of the Legal team. The successful candidate will have a high level of professionalism and ability to deal effectively with all levels within the organizational as well as external contacts.

Responsibilities:

  • Assist the GWL Legal department with various administrative tasks, including, but not limited to, managing email and calendars, planning meetings, filings, handling incoming mail, payment of invoices and arranging for couriers.
  • Assist with Board and Committee meeting logistics, including scheduling meetings, arranging audio/video requirements, conference calls and hotel/travel arrangements.
  • Assist with maintaining the Legal Entity Management Database.
  • Assist with the enterprise content management system, offsite document storage and managing retention schedules.
  • Prepare correspondence, memorandums, reports and spreadsheets.
  • Any other tasks that may be reasonably assigned.
Qualifications:
  • Minimum two years of administrative assistant experience.
  • Ability to work in a highly organized manner where attention to detail, accuracy and confidentiality are critical.
  • Ability to work in a hybrid work environment (minimum 3 days in office/2 days remote).
  • Strong computer skills (Excel, Word, SharePoint, PowerPoint, Outlook, database maintenance).
  • Excellent time management skills with the ability to manage multiple priorities and deliverables.
  • Must have flexibility to assist with Board meetings outside of regularly scheduled work hours.
  • Excellent verbal and written communication skills.
  • Adaptable and flexible individual who works effectively as part of a team.
  • Positive and collaborative attitude.
