Job Description

The role of Administrative Assistant provides general clerical and administration support by assisting customers and employees. Provide a professional, courteous, and helpful atmosphere by being the face and voice of the company. Answer all incoming calls and route calls to the appropriate person or location. Greet customers, vendors, job applicants and other visitors and assure they are directed or escorted to the proper office. Perform office and clerical tasks as assigned by manager.

Main Responsibilities

Responsible for greeting visitor arrivals in a professional and courteous manner and directing them to the appropriate person

Answers all incoming telephone calls in a professional and courteous manner

Yard control (sign in / out book)

Scheduling meetings and appointments and screening calls.

Preparation and processing of routine documents and spreadsheets.

Performs various accounting, finance, credit administration and clerical duties as directed to support the operational departments

Opens, date stamps and sorts all incoming mail and processes all outgoing mail

Processes invoicing for trailers, parts and service and prepare daily deposits

Manages the office supply inventory and replenish supplies when needed

Assist with invoicing and generating customer statements

HR Responsibilities

Screen and record Employee Absence Line calls daily

Employee maintenance in Visual, Dayforce and Benefit programs

Submit monthly reports to management and benefits providers

Coordinate with safety on information needed for WCB claims

Coordinate with managers and supervisors to have hourly data submitted timely

Assist in posting of job vacancies, assist in screening and rating of job applicants, conduct reference checks and arrange interviews.

Compile, review, and monitor statistical reports, statements, and summaries related to pay and benefits accounts.

Notify Management of upcoming performance appraisals and probationary periods.

Experience and Education

Completion of college or other courses in administration, accounting or Human Resources is an asset.

1-2 years experience in an administrative / accounting role

Experience in Visual Manufacturing is an asset.

Experience in Dayforce is an asset but not necessary.

Working Conditions

The work performed is carried out indoors in a regulated environment

Regular fast pace or work with tight deadlines

A medium stress environment due to timelines

Shift Availability

Monday to Friday - 8:00 am - 4:30 pm

Overtime available, ability to work longer hours when needed
