Position Summary

Administrative Assistant to the Executive Director of Education/ IT Technology and Education Technical Management Support portfolio (ETMS). The candidate will provide high level scheduling and coordination support while maintaining a high standard of professionalism, productivity, and teamwork.

Duties

  • Coordination and administration of activities for the ETMS team under the direction of the ETMS Manager. This may include:
  • scheduling events and scheduling staff to support events;
  • organization and clearance to various hospital departments;
  • facilitating and administration of written communications,
  • facilities and procurement activities;
  • billing to various internal and external clients;
  • establishing and documenting new policies and procedures to effectively administer support to the ETMS team across various sites.
  • Assist in coordinating and creating documentation for a variety of ETMS projects (list of deliverables, project timelines, prioritizing goals).
  • Documenting inventory, expenses, employee hours, lieu time, sick days.
  • Successful completion of activities within the Executive Director portfolio. This includes: organizational, operational, and office management activities, maintaining confidentiality of the office. Conducting all level of administration and communication with the highest-level professionalism, accuracy, precision, quality and efficiency.
Qualifications
  • Completion of Grade XII or recognized equivalent required
  • Completion of a recognized medical or business post secondary secretarial arts program at the diploma level required
  • 3 years experience at a senior-level Administrative Assistant level
  • Experience with event planning and working in an academic and/ or educational environment
  • Ability to work independently with a minimum level of supervision
  • Superior quality Microsoft office skills
  • Ability to communicate with senior level executive, professional affiliates and academic partners including university and granting partners.
