The Opportunity

Provides high-quality administrative, secretarial, and organizational support to the Transition to Adult Care team. Responsibilities include, but are not limited to:

Transcribing reports and project documents, design of documents/posters/presentations, and distribution as appropriate. Coordination/booking of committee meetings with internal and external partners for both in person and virtual platforms, including all required equipment and material support. Creation and coordination of learning events for in person and virtual platforms, including registration, material distribution and virtual platform support. Answering/referring phone calls, and relaying messages with follow-up, as appropriate. Attending committee meetings, and taking/distributing minutes/documents, as required. Managing computer files.

Your Qualifications

Graduate of a recognized Secretarial or Office Administration Diploma Program required. Minimum six (6) months related secretarial experience required, one (1) year preferred. An equivalent combination of education and experience may be considered. Minimum 60 wpm keyboard skills required. Experience with minute-taking required. Advanced working knowledge of computer applications, including Windows, Outlook, word processing, spreadsheet/database, PowerPoint, and design programs required. Experience with the use of virtual meeting technology is required. Competent in the use of various office equipment required. Excellent planning, organizational, prioritization, and time management skills required. Self-motivated with the ability to work with minimal supervision required. Demonstrated excellence in communication (both verbal and written) and interpersonal skills required. High regard for quality and attention to detail required. Experience with IWK Intranet (PULSE), Meditech, and SAP preferred. Medical terminology knowledge preferred. Competency in other languages is considered an asset.
