ADMINISTRATIVE ASSISTANT II / SENIOR MANAGEMENT ASSISTANT

10.5 MONTH CONTINUING

(Subject to Internal Staffing Process)

The Greater Victoria School District is looking to hire an Administrative Assistant II (Non-Supervising) (17.5hrs) / Senior Management Assistant (17.5hrs) for the Superintendent\xe2\x80\x99s and Indigenous Departments. This is a 10.5 month, continuing position working 35 hours per week, Monday- Friday 8:00am-4:00pm.

The Greater Victoria School District provides public educational services to over 20,000 students in the Greater Victoria Area, encompassing six municipalities. To provide this service, the District has a current operating budget of $210 million and employs approximately 3,500 staff; which includes, teachers, principals and vice-principals, support staff, psychologists, speech and language pathologists and exempt staff.

Reporting to the department head/manager/supervisor, the Administrative Assistant II manages the Department\xe2\x80\x99s administrative services including coordinating office procedures, records management, and monitoring accounts. The position operates in an environment of high volumes of work with constant interruptions and changing priorities.

Under the general supervision of a Senior Manager, the Senior Management Assistant provides a variety of administrative support functions, with limited supervision, within a broad framework of policies and procedures. The incumbent functions in an environment with many time sensitive, confidential and/or political issues/projects occurring simultaneously. Due to the nature of the work, the incumbent must establish and maintain links with Principals, Vice Principals, District staff, Union executive members, Trustees, parents, students, Ministry officials and the public.

Qualifications include Grade 12 or equivalent and one year post -secondary Office Administration Certificate including course work in basic accounting and records management. Must be able to take dictation of Board-level meetings; must be able to take minutes of meetings to be used for legal proceedings; must be able to work in a very busy office assisting nine School Board Trustees, the Superintendent of Schools and the Secretary-Treasurer; must maintain a high degree of confidentiality and discretion; must possess an excellent working knowledge of schools and school district procedures and issues; must be highly proficient with Microsoft Office Programs, including Power Point and Excel; must be able to compose and prepare correspondence, reports and communications on behalf of the Superintendent of Schools.

This position falls with the CUPE 947 Collective Agreement at a pay rate of ($29.49/hr for 17.5hrs) and ($30.77/hr for 17.5hrs) plus a comprehensive benefits package.
