The Administrative Assistant, under the direction of the Office Manager, supports Care Coordinators in their role to handle client care and service inquiries, arranges client care and service, schedules Home Support Workers and maintains scheduling information and data as required.
Duties and Responsibilities
Professional communication always. This includes, but is not limited to, phone, email, and written documents.
Reports to Office Manager and/or designate.
Maintains continuous lines of communication for all team members.
Ability to prioritize work responsibilities. Ensure follow through on work commitments within specified timelines.
Answer telephone calls as needed and direct calls appropriately.
Document all calls, complete records, and keep IT notes, within specified time
Book interviews for potential workers and complete interviews as required.
Complete chart audits as required and time permits. (Staff and clients)
Communicate with the Office Manager to ensure supplies are replenished as required.
Scanning, Filing, Faxing and Photocopying when needed.
Attendance at the annual get together is mandatory. (This applies to full-time permanent staff)
Maintain an adequate supply of Welcome Packages, HSW Interview Packages, and organize new files while ensuring it's the proper version of the files.
Ensure the workstation is tidy and organized.
Some knowledge in scheduling to help when needed.
Uploading all necessary documents to appropriate place
Prep and mailing client schedules and memos
Participate and contribute in PR events.
Other office-related duties as required
Qualifications:
High school diploma.
Certificates in Office Administration program, computer program, medical terminology or equivalent.
Demonstrates effective computer skills for job requirements.

Excellent written and oral communication skills.
