The Manager of Outpatient Services is currently seeking a Full time Administrative Assistant. The purpose of this position is to provide administrative support/secretarial services to the department. Please note this position offers a hybrid work environment consisting of in-office and remote work. Office location is Bayshore Drive Midland, ON

KEY ACCOUNTABILITIES:



Support teams and clients through booking client appointments, coordinating virtual care appointments, managing Physician schedules, taking and responding to calls or inquiries, ordering supplies and equipment, preparing and responding to program faxes and emails, etc. Support the budget process by data gathering (i.e. overtime stats, etc.); data entry; invoicing, identifying variances of Program/Department budgets, preparing and processing completed travel/expense claims. Order supplies and equipment, and arrange tuition, accommodation, etc. for Director/Managers, maintaining office supply inventory for the Program/Department. Collect and collate information, as required and/or directed, to compose correspondence and/or prepare reports/presentations/spreadsheets/graphs/special projects in response to requests from senior management, external community partners, and associated ministries using various software applications (Microsoft Office Suite, etc). Collaborate with community partners, clients, families, and provide direct customer service and administrative support Participate in projects or work groups/committees, as appropriate Take and process minutes of assigned committees/meetings, composing, typing and distributing agenda, meeting coordination - arranging attendees, including electronic invitations; room booking. Perform all work at all times in compliance with all hospital policies and procedures and legislation (Occupational Health &Safety Act, Fire Code, WHMIS, etc.) relevant to health and safety, security (including relational/therapeutic security) and potential risk hazards, and in particular, "duties of the worker" as defined in Section 28 of the OH &S Act.

REQUIREMENTS/QUALIFICATIONS:



Post-secondary education in an office administrative program or related field Three to five years of recent administrative experience in a fast-paced medical environment, preferably within a hospital setting. Knowledge of the programs or department's roles, administrative functions, objectives, and activities to effectively manage communication. Proven advanced level computer software experience including proficiency in Microsoft suite and Meditech General knowledge of budgetary practices and processes Results oriented work ethic to work independently and undertake tasks needed to accomplish work objectives and deliver quality, consistent and timely results Demonstrated leadership, conflict resolution, interpersonal and organizational skills Proven written and verbal communication skills Proven ability to adapt readily to change Models and promotes core ethical practice, Waypoint Values, and reflects an optimistic and positive attitude Preference for proficiency in French/English language skills
