Join us as an Administrative Support member for the Facilities and Operations team! In this role, you\'ll be instrumental in supporting our team members\' activities and roles, helping to manage collaborative and participative processes that drive our department's success. As part of our shared administrative services model, you\'ll provide crucial mid-level administrative support to different business units within Facilities & Operations, while also stepping in to assist team members and provide backup support within Administrative Services when needed.This position offers a unique opportunity for significant interaction with various departments across our portfolio, as well as external partners and stakeholders.   • Manages access to their calendars, prioritizing meetings, events, other activities;
  • Evaluates, redirects, or responds to requests, inquiries, and complaints;
  • Coordinates meetings for their assigned group, with other departments or faculties, off-campus agencies, etc. Includes compilation and distribution of meeting materials;
  • Coordinates all aspects of meetings; including minutes, creating agendas, tracking action items, obtaining venue, equipment, catering, etc.;
  • Works with the team to help draft documents; routine communications; presentations; compiles presentation materials for internal and external use;
  • Organizes, compiles and enters information in various computer programs;
  • Maintains records of annual departmental processes such as vacation plans, conference dates and attendance, performance appraisals;
Minimum Qualifications
  • Minimum high school diploma
  • Two years experience in a multi-faceted, fast-paced office environment, preferably in a post-secondary environment
  • Ability to work in a fast-paced, high-volume environment
  • Strong organization, accuracy, and attention to detail
  • Strong business acumen to confidently work with multiple stakeholders
  • Excellent time management and organizational skills and attention to detail
Preferred Qualifications
  • Experience in administration in a large unionized organization considered an asset
  • Demonstrated ability to work collaboratively in a team environment while managing competing priorities preferred
